CRM Reminders


CRM reminders include notifications related to all CRM business objects, such as permission changes, record processing timeouts, and business approvals. CRM reminders let you quickly view approvals and business alerts that require your action.

1. CRM To-Do Reminders

Reminder Item Description
Pending approval processes Business processes awaiting approval by the current user.
Pending business processes Business processes in Process Management that require action or approval from the current user.
Customer report pending review Customer report approvals awaiting review by the current user.
Sales Orders pending confirmation Sales Order confirmation workflows configured at order creation. This reminder lists Sales Orders awaiting confirmation approval by the current user.
Orders pending shipment After a Sales Order is confirmed, it moves to the shipment stage. Users assigned the “Shipping Personnel” Role who are configured in Function Permission Management → Approval Permission Settings to approve for their responsible Departments will receive related reminders and can confirm shipment within the Sales Order.
Return orders pending confirmation Return order confirmation workflows configured at return creation. This reminder lists return orders awaiting approval by the current user.
Payment Collections pending confirmation The Payment Collection workflow is a system-default confirmation process. Users with the “Payment Collection Finance” Role who are configured in Function Permission Management → Approval Permission Settings to approve for their responsible Departments will receive Payment Collection confirmation reminders submitted by their Departments and process them.
Refunds pending confirmation The refund workflow is a system-default confirmation process. Users with the “Refund Finance” Role who are configured in Function Permission Management → Approval Permission Settings to approve for their responsible Departments will receive refund confirmation reminders submitted by their Departments and process them.
Invoicing requests pending confirmation The invoicing request workflow is a system-default confirmation process. Users with the “Invoicing Finance” Role who are configured in Function Permission Management → Approval Permission Settings to approve for their responsible Departments will receive invoicing request confirmation reminders submitted by their Departments and process them.
Sales stage pending confirmation If a sales stage is configured with “This stage completion requires direct manager confirmation,” then when an Opportunity completes that stage, the responsible user’s Reporting Manager receives a pending confirmation reminder.
Leads pending assignment Unassigned Leads in the Lead Pool — newly created in the pool, reclaimed by a Lead Admin, or returned by a Lead owner. This reminder notifies Lead Pool administrators.
Leads pending processing Newly assigned Leads or when a Lead owner changes; this notifies the new Lead owner.
Initiated approval processes Approval processes initiated by the current user.
Approval messages Approval-related messages sent to the current user during approval workflows. Includes custom CRM notifications and To-Do alerts triggered after a workflow completes.
Import assistant Records of users who imported data via the import tool.

2. CRM Notification Items

Leads Lead timeout, Lead reclaimed, Lead merged.
Account Customer report approval status, Account reclaimed, Account owner changed, Related Teams changed, Account voided, Account merged, Account follow-up reminders (when follow-up rules are configured in Account Pool or non-pool).
Contact Contact voided, Contact merged.
Opportunity Notifications on whether a completed Opportunity stage requiring manager confirmation was approved, stage dwell-time timeout, reminder for expected close date reached, after-sales process started, after-sales process stage timeout, after-sales stage dwell-time timeout.
Visit Owner changed reminder, visit assigned, Co-visitor added.
Contract Contract approaching expiration or expired reminders.
Sales Order Sales Order approval result.
Payment Collection Payment Collection approval result, Payment Collection modified by non-owner.
Refund Refund approval result, Refund modified by non-owner.
Invoicing Request Invoicing request approval result, invoicing data modified by non-owner.
Service Record New service record created.
Permission changes Added or removed CRM Administrator permission; added or removed CRM Observer or Observer role change; added or removed Service Personnel Role; added or removed Account Pool Administrator; Account Pool member changes; added or removed Lead Pool Administrator; Lead Pool member changes; added or removed Account report personnel.
