  • As a sales unit in an enterprise, leverage the Price List to flexibly control product pricing variations. Combined with Quotations, this enables quick and accurate pricing for customers while meeting complex quotation requirements. After creating a Quotation, you can print or email it to efficiently and comprehensively present the offer to the customer.

  • A Quotation serves as the foundational pricing information for a Sales Order. The final business outcome evolves into a Sales Order, and the one-click conversion feature from Quotation to Sales Order allows for rapid and flexible order creation to meet business needs.

2.1 Quotation Views

2.1.1 Preset Scenarios for Quotations

  • All:

    • The owner is the current user or their subordinate.

    • Or the Related Teams include the current user or their subordinate.

    • Or the “Data Sharing” rules for Accounts in “Data Permission Management” are configured to share records owned by the current user, their department, or their user group.

    • Or the data falls under “My Responsible Departments.”

  • My Responsibilities: The owner is the current user.

  • Participated by Me: The Related Teams include the current user.

  • My Responsible Departments:

    • The current user is the head of their primary department.

    • And the primary department of the Related Teams in the record matches this department.

    • Note: Whether the responsible department includes all subordinate data is determined by “CRM Management > Rule Settings > Basic Settings > Data Visibility for Superiors.”

  • Responsible by My Subordinates: The owner is a subordinate of the current user.

  • Participated by My Subordinates: The Related Teams include a subordinate of the current user.

  • Shared With Me: The “Data Sharing” rules for Contacts in “Data Permission Management” are configured to share records owned by the current user, their department, or their user group.

Notes:
- CRM Administrators can view all data.
- Records marked as “Voided” are only visible to CRM Administrators and hidden from other users.

2.2 Business Operations for Quotations

2.2.1 Creating a Quotation

  • Methods to Create a Quotation:

    • Manual Creation:

      • Entry points:

        • Quotation list page

        • Account detail page > Quotation section

        • Opportunity detail page > Quotation section

    • Import: Refer to Import Guide.
      > Note: The Account field does not support import; imported records default to “All.”

  • Adding Products to a Quotation:

    • Combine with the Price List to leverage flexible pricing controls, enabling quick and accurate quotations for customers.

      • On the Quotation creation page, select an Account and Price List, then add products from the Price List to efficiently generate a Quotation.

      • If the Price List is disabled, directly select products after choosing an Account.

2.2.2 Editing Quotation Line Items

  • Business Context: During negotiations, adjustments to Quotation line items may be required to meet customer demands.

  • Prerequisites: The Quotation line item status must be “Active” and “Unlocked.”

  • Authorized Roles: Owner, owner’s superior, Related Teams with “Read/Write” permissions, superiors of Related Teams, and data-sharing parties with “Read/Write” permissions.

  • Entry Points:

    • Quotation detail page > Quotation Line Items > “Edit” button.

    • Quotation Line Items object > Quotation Line Items detail page > “Edit” button.

2.2.3 One-Click Conversion to Sales Order

  • Business Context: After finalizing a Quotation, convert it into a Sales Order with one click to expedite transactions.

  • Prerequisites: The Quotation status must be “Active” and “Unlocked.”

  • Authorized Roles: Owner, owner’s superior, Related Teams with “Read/Write” permissions, superiors of Related Teams, and data-sharing parties with “Read/Write” permissions.

  • Entry Point: Quotation detail page > “More” dropdown > “Convert to Sales Order.”
