1. Example Business Scenarios

  • As a company’s sales unit, use the Price List to flexibly control product pricing differences during the sales process. Combined with a Quotation, this enables fast, accurate pricing for customers and supports complex quoting requirements. After creating a Quotation, you can print it or send it by email to present the quote to the customer quickly and comprehensively.
  • A Quotation serves as the base pricing information for a Sales Order. When the business requires, use the one-click Convert to Sales Order function to quickly and flexibly create a new Sales Order.

2. Quotation Details

2.1 Quotation Views

2.1.1 Quotation Preset Filters

  • All:
    • The owner is the current user or the current user’s subordinate
    • Or the Related Teams include the current user or the current user’s subordinate
    • Or the customer’s “data sharing” rule in Data Permission Management is set to share records owned by the record owner or the owner’s department with the current user, the current user’s department, or the current user’s user group
    • Or data of “My Responsible Departments”
  • My Responsibilities: the owner is the current user
  • Participated by Me: Related Teams include the current user
  • My Responsible Departments:
    • The current user is the head of their primary department
    • And in the record, the Related Teams members’ primary department is that department
    • Note: Whether the responsible department includes all subordinate data is determined by CRM Management → Rule Settings → Basic Settings → “Visible scope of parent data”
  • Responsible by My Subordinates: the owner is the current user’s subordinate
  • My Subordinates Participated: Related Teams include the current user’s subordinate
  • Shared With Me: In Data Permission Management, the customer’s “data sharing” rule is set to share records owned by the record owner or the owner’s department with the current user, the current user’s department, or the current user’s user group

Note: - CRM administrators can view all data. - Records with status “Cancelled” are visible only to CRM administrators and not to other users.

2.2 Quotation Operations

2.2.1 Create a Quotation

  • Ways to create a Quotation
    • Manual creation
      • Entry points: Quotation list page
      • Related object Account (Account) detail page → Quotation section
      • Related object Opportunity detail page → Quotation section
    • Import — see Import
      • Note: The applicable customer field is not supported for import; on import it defaults to All.
  • Adding Quotation Products:
    • Combine with a Price List to flexibly control product pricing differences, enabling fast and accurate quotes and meeting complex quoting needs.
    • On the Quotation creation page, select the Account and choose a Price List, then add products from that Price List to create a Quotation quickly and accurately. If Price List is not enabled: on the Quotation creation page, after selecting the Account, add products directly.

2.2.2 Edit Quotation Line Items

  • Business description: During quoting, you may coordinate with the customer multiple times and adjust Quotation line items to meet business needs.
  • Conditions to perform this operation: Quotation line item status is Normal and Unlocked.
  • Who can perform this operation: the owner, the owner’s superior, Related Teams members who have Read/Write permission and their superiors, and data sharers configured with Read/Write permission.
  • Where to perform this operation: Quotation detail page → Quotation Line Items → click Edit on the relevant Quotation Line Item detail page; or from the Quotation Line Item object detail page → Edit button.

2.2.3 One-Click Convert to Sales Order

  • Business description: After quoting, convert to a Sales Order with one click to finalize the transaction quickly.
  • Conditions to perform this operation: Quotation status is Normal and Unlocked.
  • Who can perform this operation: the owner, the owner’s superior, Related Teams members who have Read/Write permission and their superiors, and data sharers configured with Read/Write permission.
  • Where to perform this operation: Quotation detail page → More → Convert to Sales Order button.
  • The system provides a default Quotation print template; you can print Quotations directly.
  • Note: Adjust the default Quotation print template content before use.
