1. Business Use Cases — Examples
Generally, when a company sets up a Contract, it defines the Contract start and end dates. To prompt salespeople and customers to renew in time, the system begins reminding about Contracts that will expire 30 days before the expiration date, delivering daily notifications via the CRM home page Smart Reminder card.
For agreement-type Contracts that are fulfilled by signing multiple Orders with a customer, the system supports creating multiple Sales Orders under a single Contract to accommodate this scenario.
2. Contract Details
2.1 Contract Preset Views
- All:
- The Owner is the current user or the current user’s subordinates
- OR the Related Team includes the current user or the current user’s subordinates
- OR the current user holds an Order Management or Order Finance Role responsible for approving department submissions (for example, if User A has the “Order Finance” Role and approves Orders submitted by Dept. B, User A can view Orders whose Owner belongs to Dept. B)
- OR the Contract’s data-sharing rule in Data Permission Management is configured to share records owned by a user or that user’s department with the current employee, the current employee’s department, or the current employee’s user group
- OR data belonging to “My Responsible Departments”
- My Responsibilities: the Owner is the current user
- Participated by Me: the Related Team includes the current user
- Responsible by My Subordinates: the Owner is a subordinate of the current user
- Participated by My Subordinates: the Related Team includes a subordinate of the current user
- Shared With Me: the Contract’s data-sharing rule in Data Permission Management is configured to share records owned by a user or that user’s department with the current employee, the current employee’s department, or the current employee’s user group
- My Responsible Departments:
- The current user is the head of their primary Dept.
- And the Related Team members in the record have that same primary Dept.
- Note: whether the responsible Dept. includes all subordinate Dept. data is determined by CRM Management → Rules Settings → Basic Settings → “Upper-level visibility scope.”
Note: - The CRM Administrator can view all data. - Records with status “Void” are visible only to the CRM Administrator; other users cannot see them.
