1. Business Use Case Examples
Enterprise invoicing processes vary across industries.
In the FMCG industry, invoices are issued before payment collection, and payments are made based on invoice amounts.
Other industries collect payments first, then issue invoices matching the payment amounts.
Ultimately, the total payment collection equals the total Sales Order amount, and the total invoice amount will also match the order total.
2. Invoice Request Details
2.1 Preset Scenarios for Invoice Requests
All:
Records where the current user or their subordinates are responsible
OR where the current user or their subordinates are included in Related Teams
OR records from departments where the current user holds the “Invoice Finance” Role for approval (e.g., User A with “Invoice Finance” Role can view all invoice requests from Dept. B they oversee)
OR records shared through “Data Permission Management” rules
OR “My Responsible Departments” data
My Responsibilities: Invoice requests assigned to the current user
Participated by Me: Records where the current user is in Related Teams
Responsible by My Subordinates: Invoice requests assigned to subordinates
Shared With Me: Data shared through “Data Permission Management” rules
My Responsible Departments:
Current user is the department head of their primary department
AND the record’s Related Teams include members from that department
Note: Visibility of subordinate department data is determined by “CRM Management > Rule Settings > Basic Settings > Superior Data Visibility Scope”
Notes: - CRM administrators can view all data. - Only CRM administrators can view records marked as “Voided.”
2.2 Invoice Request Operations
2.2.1 Creating an Invoice Request
Creation methods:
Manual creation:
Entry points: [Invoice Request] list page
[Account] detail page > [Invoicing] section
[Sales Order] detail page > [Invoicing] section
Import (see Import)
Business considerations:
Approval process: Requires finance personnel review. New requests automatically route to users with the “Invoice Finance” Role.
Negative amounts: Supported. When calculating invoiced amounts for Sales Orders, negative invoice amounts are deducted from the total.
2.2.2 Invoice Request Approval Workflow
Purpose: Financial information requires finance team verification.
Default workflow: System routes new requests to “Invoice Finance” Role holders.
Processing:
Access pending requests via “CRM Alerts > Pending Invoice Requests” or the Invoice Request list.
Approve: Completes the process.
Reject: Marks status as “Rejected,” requiring resubmission after edits.
