Leads and Lead Pool
1. Adding a Lead Pool
- Lead Pool Name: The name of the lead pool, such as “Trade Show Lead Pool,” “Beijing Lead Pool,” or “Web Visit Lead Pool.”
- Administrator: The administrator of the lead pool, who has full permissions, including assigning, reclaiming, or transferring leads to other lead pools.
- Lead Pool Members: Users who can view and claim unassigned leads in the lead pool or receive leads assigned by the administrator.
- Lead Pool Type: Configures whether lead pool members can view and claim leads.
- Visible and Claimable by Employees, Assignable by Administrator: Lead pool members have access to the “My Workspace - Lead Pool” menu and can view and claim unassigned leads.
- Invisible to Employees, Assignable by Administrator: Lead pool members cannot view the lead pool; leads can only be assigned by the administrator.
- Visible and Claimable by Employees, Assignable by Administrator: Lead pool members have access to the “My Workspace - Lead Pool” menu and can view and claim unassigned leads.
- Lead Claim Limit: The maximum number of leads each lead pool member can claim from the current lead pool.
- Notify Lead Pool Administrator When Leads Are Claimed: When enabled, the lead pool administrator will receive a notification in “CRM Notifications” when a lead is claimed.
- Timeout Reminder Rules: Lead pool timeout reminders include assignment timeout reminders and follow-up timeout reminders.
- For unassigned leads, the timer starts when the lead is created or returned/reclaimed to the lead pool. If the timeout period is exceeded, the lead pool administrator is notified.
- For assigned but unconverted leads, the timer starts when the lead is assigned. If there is a follow-up record, the timer stops. If the timeout period is exceeded, the lead owner is notified.
- Default Lead Assignment: Leads received by the lead pool will be automatically assigned to the selected employee.
- Public Field Settings: Determines which fields are visible to lead pool members before a lead is claimed, to better protect enterprise resource information. For example, if a lead contains “phone number,” this field may be hidden from members until the lead is claimed to prevent unauthorized contact.
- Allow Lead Pool Members to View/Edit Related Teams and Sales Records Before Claiming Leads: If disabled, lead pool members cannot view sales records or edit Related Teams members for unclaimed leads.
2. Deleting a Lead Pool
When deleting a lead pool, you can choose to transfer existing leads to another lead pool or delete them directly:
- Transfer to Another Lead Pool: Select a target lead pool and transfer the leads.
- Delete Leads Directly: Permanently remove the leads.
3. Transferring Leads
Transfer all sales leads from the current lead pool to another lead pool.
