1. Detailed Introduction to Price Lists

1.1 Price List Preset Visibility Scenarios

  • All
    • The owner is the current user or the current user’s subordinate.
    • Or the Related Teams include the current user or the current user’s subordinate.
    • Or in Data Permission Management the Account’s data-sharing rule grants records owned by a record owner or the owner’s Dept. to the current employee, the current employee’s Dept., or the current employee’s user group.
    • Or records under “My Responsible Departments.”
  • My Responsibilities: record owner is the current user.
  • Participated by Me: Related Teams include the current user.
  • My Responsible Departments:
    • The current user is the head of their primary Dept.
    • The record’s Related Team members’ primary Dept. is that Dept.
    • Note: Whether the responsible Dept includes all subordinate data is determined by CRM Management → Rules Settings → Base Settings → “Up-level Visible Data Range”.
  • Responsible by My Subordinates: record owner is a subordinate of the current user.
  • My Subordinates Participated: Related Teams include a subordinate of the current user.
  • Shared With Me: in Data Permission Management the Contact’s data-sharing rule grants records owned by a record owner or the owner’s Dept. to the current employee, the current employee’s Dept., or the current employee’s user group.

Note: - CRM administrators can view all records. - Only CRM administrators can view records with status “Cancelled”; other users cannot.

1.2 Price List Operations

1.2.1 Price List Switch

  • How to enable Price Lists:
    • Admin Console → Business Rule Settings → Price Management
    • Note: Once Price Lists are enabled, they cannot be disabled.
  • When enabled, the system initializes a Standard Price List.
  • The switch “Enforce price list priority for best price” controls behavior in Orders, Quotations, and Opportunity 2.0:
    1. When adding line items:
      • If enabled, show the “Add From Products” button.
      • If disabled, show the “Add From Price List Details” button.
    2. After adding line items, whether the default price can be switched to another price list’s price:
      • If enabled, switching is disabled.
      • If disabled, switching is allowed.

1.2.2 Creating a Price List

  • Ways to create a Price List:
    • Manual creation
      • Entry point: Price Lists list page
    • Import (see Import)
  • Quick maintenance flow for creating a Price List and sales scope:
    • On the Price List [New] screen you can add price list details and then create a Sales Scope; the flow guides the user through each step.
    • Interaction improvements: the [New Price List] screen shows guided steps.

  • After creating a Price List, click [Save and Add Price List Details] to go directly to the Add Price List Details page and create details immediately.

  • After creating a Price List, click [Save and Add Sales Scope] to go directly to the Set Sales Scope page and create the scope at the same time. a. Set Sales Scope — Option 1: Create a new Sales Scope; this quickly reuses the current Price List information in the Sales Scope.

  • On the Price List details page, a [Configure Sales Scope] button opens the Configure Sales Scope page. Click [Add Sales Scope] to quickly apply the current Price List to an existing Sales Scope.

1.2.3 Price List Creation Rules

  • Start and End Dates: optional. If not set, the Price List has no date restriction and is permanent. The Price List price applies only within its effective date range.
  • Price List Status: only Price Lists in “Enabled” status are available.
  • Applicable Depts., Customers (Accounts), and Partners are defined within Sales Scopes.

1.2.4 Adding Price List Details

  • Description: Add Products to a Price List so Orders, Quotations, and Opportunity 2.0 can select Products or Price List Details; the applicable price will be determined based on Sales Scope → Applicable Price Lists.
  • Preconditions: Price List must be in status “Normal” and “Unlocked”.
  • Who can perform: owner, owner’s manager, Related Team members with Write permission, Related Team members’ managers, and data share recipients with Write permission.
  • Entry points: Price List edit page “Save and Create Price List Details”; Price List details page under “Price List Details”; in the Price List Details object click “Add Product”.
  • Price List Priority: the configured priority determines the default price populated in Quotations, Orders, and Opportunity 2.0 when selecting a product.

1.2.5 Editing Price List Details

  • Description: Different time periods can have different discounts; you can edit discounts for one or multiple Price List Details to meet business needs.
  • Preconditions: Price List must be “Normal” and “Unlocked”.
  • Who can perform: owner, owner’s manager, Related Team members with Write permission, Related Team members’ managers, and data share recipients with Write permission.
  • Entry points: Price List details page → “Price List Details” → “Edit” button; Price List Details object → Price List Detail record → “Edit” button.

1.2.6 Standard Price List

  • Description: After enabling Price Lists, the system creates a preconfigured Standard Price List and automatically adds all existing products to its Price List Details with a default discount of 100%. The Standard Price List cannot be cancelled or deleted; it can only be enabled/disabled (via Price List status). Standard Price List Details allow editing discounts only; adding or removing details is not allowed.
  • Start and End Dates: default is empty (permanent). The Standard Price List price applies only within its effective date range.
  • Default discount: 100%
  • Special rules: when a product is added, removed, cancelled, or restored, the same action is mirrored in the Standard Price List’s products. Editing a product price updates the Standard Price List product price accordingly; the Price List selling price remains unchanged.

3. Business Scenarios

  • Org Structure Changes (personnel changes)
    • Step 1: Admin → Org Structure Management → Depts. & Employees → Update Organization
    • Step 2: CRM → Sales Scopes → find the data requiring adjustment → Edit → modify applicable organization
  • Account Changes
    • Add Account (new market)
      1. CRM → Account → New/Import: maintain and save Account information
      2. Sales Scope → Applicable Accounts:
        • Applicable Range = Specific Accounts: edit to add the new Account
        • Applicable Range = All: no action required
        • Applicable Range = Meets specified conditions: no action required
    • Remove Account (stop cooperation; adjust Sales Scopes)

        • Option 1: on the Product page click “Save and Add to Price List” and select the target Price List, then maintain Price List Details (in development, planned 7.3.0)
        • Option 2: CRM → Price Lists → select the target Price List → maintain Price List Details
      3. Sales Scope:
        • All: no action required
        • Meets specified conditions: no action required
        • Follow applicable Price List range: no action required
        • Specific Products: find the Sales Scope to modify → Edit → Sales Scope Products → Add Product
        • Option 1: On the Price List click “Save and Create Price List” or “Save and Add to Existing Sales Scope” and maintain Sales Scope → Sales Scope Products (in development, planned 7.3.0)
        • Option 2: CRM → Sales Scopes → select the Sales Scope → Edit → maintain Sales Scope Products
    • Remove Product (product discontinued; Account or Partner can no longer sell the product)
