Spare Parts Inventory Implementation Guide


1. Scenario Overview

  • Spare parts scenario: Designed for medium-to-large manufacturing enterprises, this solution helps businesses achieve refined spare parts management. It facilitates spare parts requisition, consumption, returns, and one-item-one-code tracking for high-value spare parts around Work Orders and equipment. Real-time tracking enhances operational efficiency, reduces service costs, and transforms the after-sales service center from a cost center to a profit center.

2. Prerequisites

2.1 Purchase Inventory Management (Required)

  • The [Inventory Management] app must be purchased. If not purchased, contact the corresponding sales representative.

2.2 Purchase Logistics Query Resource Pack (Optional)

  • If logistics information needs to be queried for Spare Parts Shipment Orders or other objects, the Logistics Query Resource Pack must be purchased. It comes in three versions (large, medium, small), each with different query limits. Choose based on actual business needs.

2.3 Purchase ERP Connector (Optional)

  • To integrate with third-party ERP systems, purchase the corresponding Integration Platform connector. Different ERP systems require different connectors. For example, to integrate with Kingdee Cloud (Flagship Edition), purchase the [Integration Platform - Kingdee Cloud·Flagship Edition Connector].

3. System Configuration

3.1 Enable Inventory Management

Before enabling Spare Parts Inventory, Inventory Management must first be enabled as it serves as the foundation. For details on enabling and initializing Inventory Management, refer to: Sales Inventory Implementation Guide

3.2 Enable Advanced Mode for Spare Parts Management

Navigate to the Service Connector app’s system settings, click “Enable Now,” and select Advanced Mode in the pop-up window to activate Spare Parts Management. The system will simultaneously enable Spare Parts Inventory.

3.3 Configure Relevant Roles

3.4 Assign Spare Parts Record Types

3.4.1 Assign Spare Parts Record Type for Warehouse

Before using Spare Parts Inventory, assign the Spare Parts Record Type to the corresponding roles for the Warehouse object.

Path: Admin Console -> CRM Platform Management -> Object Management -> Preset Object Management -> Warehouse -> Record Type -> Assign Record Type.

In the pop-up window, assign the Spare Parts Record Type to Spare Parts Administrators and Service Engineers.

3.4.2 Assign Spare Parts Record Type for Inbound/Outbound/Transfer/Check Sheets

Before using Spare Parts documents, assign the corresponding Record Types to roles. For example, for Inbound Orders:

Path: Admin Console -> CRM Platform Management -> Object Management -> Preset Object Management -> Inbound Order -> Record Type -> Assign Record Type.

In the pop-up window, assign the Spare Parts Record Type to Spare Parts Administrators and Service Engineers.

3.5 Maintain Master Data

3.5.1 Sync Data from ERP/WMS to CRM

To integrate with ERP/WMS, use the Integration Platform connector to sync Material Master Data, Warehouse & Bin Locations, and Inventory Data. Different connectors require different configurations. For details, refer to: Connector Integration Guide

3.5.2 Maintain Data in CRM

If no third-party system is integrated, data can be maintained directly in CRM by creating/importing the corresponding object data.

3.6.1 Precision Settings

Before conducting Spare Parts business, adjust the precision for Spare Parts Inventory, Personal Inventory, and Spare Parts documents if needed. The default precision is 2 decimal places.

3.6.2 Enable Spare Parts Requisition Rules

By default, the Spare Parts Requisition parameter is disabled. When disabled, engineers can requisition any product.

When enabled, if a Work Order is associated with equipment, engineers can requisition spare parts from the equipment’s BOM range.

3.6.3 Enable Spare Parts Consumption Rules

By default, the Spare Parts Consumption parameter is disabled. When disabled, engineers can consume requisitioned spare parts on any Work Order.

When enabled, spare parts requisitioned for a specific Work Order can only be consumed on that Work Order. For details, refer to: Spare Parts Consumption

3.6.4 Enable Barcode Scanning

Barcode scanning is disabled by default. When enabled, data can be entered via barcode scanners or the ShareCRM app. For details, refer to: Barcode Scanning

3.7 Enable Personal Inventory Settings

3.7.1 Allow Multiple Personal Inventories per Engineer

By default, each Service Engineer can only have one Personal Inventory. To assign multiple Personal Inventories, enable the corresponding parameter.

3.7.2 Personal Inventory Transfer

Personal Inventory Transfer Orders are disabled by default. To transfer spare parts between engineers, enable this feature.

3.7.3 Personal Inventory Adjustment

Personal Inventory Adjustment Orders are disabled by default. To adjust spare parts data in engineers’ Personal Inventories, enable this feature.

3.8 Enable Service BOM

3.9 Equipment Component Replacement

During Spare Parts Consumption, if you want consumed New Parts to automatically update the Equipment BOM and replace old components, enable the Equipment Component Replacement parameter.

3.10 Configure Spare Parts Transfer Rules

After confirming a Spare Parts Transfer Order, the source warehouse automatically processes the outbound. By default, the destination warehouse requires manual confirmation for inbound. To automate this, set the parameter to: “After Transfer Order confirmation, the system automatically processes inbound confirmation.”

3.11 Configure Spare Parts Check Rules

By default, the product source for Spare Parts Check Sheets is “Products,” meaning all products can be checked regardless of inventory records. To restrict checks to products with inventory records, switch the Check Product Source to “Inventory.”

3.12 Configure Spare Parts Inventory Alert Rules

Set inventory alerts in the Basic Settings of Inventory Management. This applies to Spare Parts Inventory as well.

3.13 Enable Spare Parts Repair Module

Spare Parts Repair is an advanced feature available only in Spare Parts Management Advanced Mode.

Based on factors like requisition quantities and defective inventory levels, systematically repair and refurbish defective parts from after-sales services. Refurbished parts can later be used as good-quality spare parts for shipment or consumption.
