Email Binding Guide
You can initiate email binding by clicking the email entry point in ShareCRM Web, Windows/Mac desktop client, or mobile app.
1.1 Web Interface Binding
1. Entry Path:
Log in to ShareCRM Web interface, click the main navigation [More] to find [Email], then click “Bind Email”.

2. Email Account Configuration
1) Select Email Type

If the system administrator has enabled “Employees Use Corporate Email” (recommended) and configured email server information in Admin Console > Email Management > Employee Email, employees can skip selecting the email type and proceed directly to the next step:

Employee Email Account Verification (Before Activation)

Employee Email Account Verification (After Activation with Mail Server Configured)
Enter your email account and password, then click Verify. After successful verification by the mail server, the binding completes. Once bound, you can view, send, and manage emails.
Note: For common email servers, the system automatically populates the incoming mail server, SMTP server addresses, and SSL ports. Normally, no modifications are needed.

Note: After binding, it may take some time to fetch emails from the server. If your inbox appears empty initially, don’t worry. Check back after a few minutes.
1.2 Windows/Mac Desktop Client & Mobile App Binding
The binding process in Windows/Mac desktop clients and mobile apps is similar to the Web interface. Follow the Web interface steps for reference.
Microsoft Office 365 Email Binding
ShareCRM Email supports Microsoft 365 OAuth2.0 authorization code flow. Employees only need to log in with their Microsoft 365 account to complete binding.

Common Email Binding Issues & Solutions
### 1) Tencent Enterprise Email Fails to Connect to Server
Verify the incoming server type, address, and port. Reference: Tencent Enterprise Email Foxmail Client Configuration Guide
Incoming Server Type: IMAP
Incoming Server:

2) Newly Created Email Account Fails with “Incorrect Credentials”
If the account requires a password change on first login, log in via Webmail to update the password before binding.
3) Tencent Enterprise Email Fails with “Incorrect Credentials”
Ensure the credentials work on Webmail or Foxmail.

4) QQ Email Fails with “Incorrect Credentials”
Obtain an authorization code:
Log in to QQ Webmail (
mail.qq.com), go to Settings > Account, enable IMAP/SMTP, and scan the QR code to get a 16-digit authorization code.Reference: QQ Email Help - Get Authorization Code

5) 163 Email Fails with “Incorrect Credentials”
Obtain an authorization code:
Log in to 163 Webmail (
email.163.com), enable IMAP/SMTP, and send an SMS to get the code.Reference: 163 Email Help - Get Authorization Code

6) Other Binding Failures
#### a. Automatic Binding Failures
- Incorrect credentials: Re-enter the correct email and password.
- Expired password: Update the password via Webmail.
- Initial password not changed: Some emails require a password reset before binding.
- Authorization code required: Use the code instead of the password for services like QQ/163 mail.b. Advanced Configuration Failures
For custom email servers, manually configure the protocols and ports:

Protocols disabled: Enable IMAP/SMTP in the email admin console.
Credentials correct but fails: Check for expired passwords or authorization codes.
Non-SSL ports only: Contact ShareCRM support to enable non-SSL binding.
Internal network restriction: Whitelist ShareCRM IPs with your email admin.
Two-factor authentication: Disable it temporarily for binding.
Exchange username login: Contact ShareCRM support for a special mapping.
7) Why Can’t I See My Emails?
Email fetching may have delays. Pull down to refresh your inbox. If issues persist, contact ShareCRM support with your email address for assistance.
