Administrator Guide: System Email Management

System Email Overview

Common system email types include: customer service email, marketing email, workflow notification email, etc.

System emails can be used in various processes, such as workflow, approval flow, and post-actions in business flow nodes.

System emails can be used for report subscription notifications.

System emails can be used for scenarios like sending follow-ups and satisfaction surveys.

Configuration Entry

Configuration Entry: Admin Console > Business Rules Management > Email Management

Note: Currently, a maximum of 10 system emails can be configured.

System Email Binding

Fill in basic information: System email name, description (optional), email account, email password, and SMTP server.

Note: For the sending server used to bind the email, if you’re unsure how to add it, log in to your enterprise email help center and search for “SMTP” to obtain configuration details.

Email Archiving for System Emails

System emails can also be archived to the email object. Each system email requires individual archiving settings.

Navigate to the system email details page and enable “Sent Email Archiving” or “Received Email Archiving” as needed under “Email Archiving Settings.”

Note: By default, “Sent Email Archiving” and “Received Email Archiving” are enabled for customer service and marketing emails. System emails used for workflow node notifications typically do not require these settings.

System Email Sending Logs

You can view all sending logs for system emails in the email logs.

Email Templates

System emails must be used in conjunction with email templates. Pre-configure relevant object email templates before use.
