Email Template Usage
1. Template Designer
- Edit Template
- Template Name: e.g., “Sales Order - Customer Confirmation Template”.
- Email Subject: Automatically populated when sending an email with this template; parameters can be inserted.
- Scope: Employees authorized to use this template.
- Template Editor: An embedded rich-text editor with Word-like behavior for quick, intuitive layout editing.
- Insert Smart Form: You can insert a link to a smart form for any object in the email template and set the link display text.
- Insert Layout: Insert layouts to align elements neatly. Layouts define rows and columns; grid lines are not visible.
- Insert Dynamic Table: For example, a Sales Order may contain multiple Products. Insert a dynamic table that references the Primary Object’s child records; the system loads the actual child record list when sending the email.
- Insert Business Object Field: To insert a data item such as “Order Number” into the editor, place the cursor where you want it and click the “Order Number” field under Sales Order to insert the variable into the layout.

Associate Business Objects and Fields: To send complete business data, the platform provides fields for the Primary Object and related business objects, including preset fields, custom fields, and system fields. For example, to send Sales Order information, include fields related to the Primary Object Sales Order, the ordered Products list, and any associated Payment Collection details to compose a complete message.
- Supported Field Types:
- Text and picklist fields populate directly in print preview.
- Attachment fields: only the attachment name is shown.
- Permissions:
- If the current user lacks permission to a print field, that field will not appear in printing.
- If the current user lacks data access to a related object, that related object’s data will not appear in printing.

2. Deletion
If a template is no longer used, you can delete it directly. Templates that are referenced by workflows, approval flows, or Business Processes cannot be deleted.
