Email Template Usage
I. Template Designer
Editing Templates
- Template Name: e.g., “Sales Order - Customer Confirmation Template”
- Email Subject: Automatically populated when sending emails using the template. Parameters can be inserted.
- Scope: Defines which employees have permission to use the template.
- Template Editor: An embedded rich-text editor with a familiar Word-like interface for quick and easy template layout editing.
- Insert Smart Form: Embed links to smart forms of any object in the email template and customize the display text of the link.
- Insert Layout: Add layouts to ensure neat alignment of elements. Layouts define rows and columns, though gridlines remain invisible.
- Insert Dynamic Table: For example, a Sales Order may include multiple Products. A dynamic table can be inserted to display all child records under the Primary Object, with the system automatically loading the actual sub-records when sending the email.
- Insert Business Object Fields: To add a data field (e.g., “Order Number”), place the cursor at the desired location and click the “Order Number” field under “Sales Order” on the left panel to insert the variable.
- Associated Business Objects and Fields: To send comprehensive business data, the platform provides all fields of the Primary Object and its related objects, including preset, custom, and system fields. For example, when sending a “Sales Order,” users can include fields from the Primary Object (Sales Order), a list of ordered Products, and additional Payment Collection details to compose a complete email.
Supported Field Types
- Text and Selection Fields: Display their values directly in print preview.
- Attachment Fields: Only show the attachment name.
Permissions
- If an employee lacks permission to view a specific print field, it will not appear in the printout.
- If an employee has no data access to a related object, it will not be displayed in the printout.

II. Deletion
Unused email templates can be deleted directly. However, templates referenced by workflows, approval processes, or Business Processes cannot be deleted.
