1. Online Documents Overview

General Overview

As a connected CRM, ShareCRM aims to link all participants on the platform to enable collaboration and boost productivity.

We address the core challenge of document collaboration in multi-person, shared scenarios—making it simple and fast for teams to collaborate on documents.

Using this feature requires enabling the gray-release option “Attachment field supports Cloud Drive online documents.” Currently supported connectors include WPS Personal, WPS Enterprise, and Feishu Enterprise.

Use Cases

  • Sales reps, customer success managers (CSMs), and project managers can conveniently view, edit, and share Feishu documents related to their work within ShareCRM.
  • Data synchronization ensures that ShareCRM records stay consistent with Feishu spreadsheet data, improving efficiency.
  • Support for real-time online document editing and collaboration meets team co-working needs.

Target Users

  • Sales representatives, CSMs, and other users who handle business data in ShareCRM and need to edit, view, or share related documents.
  • Implementation, operations, sales, and industry teams using the ShareCRM system.

2. How to Use Online Documents

Admin Console — Enterprise Account Connector Configuration

Entry

Admin Console -> Business Plugin Management -> Online Documents

Features

  1. Online document types: Enterprise, Personal, Preset, Custom.
  2. Enterprise document status options: Enabled, Bound, Deletable, Editable.
    • If Enabled and Bound, deletion is not allowed.
    • If Bound only, deletion is allowed.
  3. Personal documents do not support Bind/Unbind/Edit; they only support Enable/Disable and Delete.

Bind Document Account

Tenant administrators must first enable the online documents capability within the enterprise, then configure the enterprise connector to associate ShareCRM with the corresponding document service (e.g., WPS Enterprise).

Preset Online Document Connector - Operation: Use card buttons to Disable, Enable, Unbind, or Delete the connector.

Custom Online Document Connector - Operation: 1. When creating a custom connector, fill in the document information: upload a document icon, enter a document name, and select the PWC component. 2. Choose a custom function; click “Execute Custom Function” to open a dialog to select or create a function. 3. Click Confirm after filling in information to create the connector. 4. Bind the account to complete setup.

Configure Attachment Field to Support Online Documents

Entry: Admin Console -> Objects -> Field Configuration

  1. Admin: The Attachment field can be configured to support “Online Documents.”
    • Attachment upload options: Cloud Drive Files, Local Upload, Online Documents.
  2. Frontend: The Attachment field supports linking to existing online documents.
  • When creating a new object that uses Online Documents, the Add Attachment menu will list available online document connectors.
  • First-time users must sign in to the online document account.

View Online Documents

Click the blue link text of an Attachment field on the object detail page to open the online document in a new browser tab.

Personal-level Frontend Authorization to Bind Online Document Account

Entry: Personal Settings -> Connected Accounts

  1. Only connectors currently in use are displayed.
  2. Only Unbind (disconnect) is supported at the personal level.

3. Notes and Limitations

  1. From the frontend object list, when you click “Export Images/Attachments/Signatures” at the top right, Online Documents are not supported for export.
  2. On the frontend object detail page, Online Document files do not display file size and do not support direct download.
