I. Online Documents Overview
General Overview
As a connected CRM platform, ShareCRM is designed to enhance productivity by seamlessly connecting all users for collaborative work.
Our solution simplifies multi-user collaboration and document sharing, addressing the core challenges of “difficult collaboration” in document workflows (specifically resolving the primary coordination challenges among multiple collaborators).
To use this feature, you must enable the beta feature [Attachment Fields Support Online Documents]. Currently supported integrations include:
- WPS Personal Edition
- WPS Enterprise Edition
- Lark (Feishu) Enterprise Edition
Use Cases
- Sales representatives, Customer Success Managers (CSMs), and project managers can effortlessly view, edit, and share Lark documents related to business operations directly within ShareCRM.
- Data synchronization ensures consistency between ShareCRM records and Lark Multi-dimensional Tables, improving operational efficiency.
- Real-time collaborative editing meets the demands of team-based workflows.

II. How to Use Online Documents
Admin Console: Enterprise Account Configuration
Access Path:
Admin Console → Business Plugin Management → Online Documents
Features:
- Document Types:
- Enterprise Edition / Personal Edition
- Pre-configured / Custom
- Enterprise Document Status:
- Enable/Disable
- Binding Status (bound/unbound)
- Edit/Delete Permissions
- Bound documents cannot be deleted.
- Unbound documents can be deleted.
- Personal Documents:
- Only supports enabling/disabling or deletion (no binding/unbinding or editing).

Binding Document Accounts
For Tenant Admins:
1. Enable online document functionality for the enterprise.
2. Configure enterprise connections to link ShareCRM with WPS Enterprise.
Pre-configured Online Document Connectors:
- Actions: Enable/Disable, Unbind, or Delete.
Custom Online Document Connectors:
1. Create a Custom Connector:
- Upload an icon and name the connector.
- Select the PWC component.
2. Custom Functions:
- Click Execute Custom Function to select or create a new function.
3. Finalize:
- Save the configuration and bind the account.

Configuring Online Documents in Attachment Fields
Access Path:
Admin Console → Objects → Field Configuration
- Admin Configuration:
- Attachment field upload options:
- Cloud Drive files
- Local upload
- Online documents

- Frontend Usage:
- Link existing online documents when creating records.
- First-time users must log in to their online document account.

Viewing Online Documents
Click the blue hyperlink in the attachment field on the record detail page to open the document in a new browser tab.
Personal-Level Account Binding
Access Path:
Personal Settings → Connected Accounts
- Only active connectors are displayed.
- Supports unbinding only.

III. Important Notes
- Export Limitations:
- Online documents cannot be exported via the Export Images/Attachments/Signatures option on record list pages.
- Detail Page Restrictions:
- Online documents do not display file sizes or support downloads on record detail pages.
