Configure Data Sharing Rules
Data sharing allows you to share business data with specific employees, departments, user groups, or roles.
1. Types of Sharing Rules
| Rule Type | Description |
|---|---|
| Based on Data Owner | Shares data owned by specified employees with other employees, departments, user groups, or roles. |
| Based on Owning Department | Shares data belonging to specified departments with other employees, departments, user groups, or roles. |
| Based on Owning Organization | Shares data belonging to specified organizations with other employees, departments, user groups, or roles. |
| Based on Conditions | Shares data that meets custom filter criteria with other employees, departments, user groups, or roles. |
2. Creating a Sharing Rule
2.1 Navigate to the Admin Console > CRM Platform Management > Data Permission Management page.
2.2 Click the Data Sharing tab to access the sharing rule settings page, then click New Sharing Rule.
2.3 Select the rule type, such as Based on Data Owner.
2.4 For owner-based rules, select the source employees, departments, user groups, or roles.
2.5 Choose the data objects to share, such as Account or Contract.
2.6 Specify the target employees, departments, user groups, or roles to share the data with.
2.7 Set the sharing permissions: Read-only or Read-write.
2.8 Click Confirm to save the sharing rule.
3. Sharing Rule Notes
3.1 Enabled sharing rules cannot be edited or deleted. You must disable the rule first before making changes.
3.2 When editing a sharing rule, only the post-sharing permissions can be modified. Other attributes like the rule type cannot be changed.
3.3 The system supports importing sharing rules based on data owner, owning department, or owning organization, but not conditional sharing rules.
3.4 For rules based on owning department or organization, if the source department or organization is disabled, the sharing rule will not take effect.
3.5 When the target of a sharing rule is a department or organization, check Include Sub-organizations and Departments if you want members of sub-departments or sub-organizations to access the data.
3.6 For Account objects, if the data owner field is empty, conditional data sharing rules will not apply by default. You may request a product beta feature for support.
