Spare Parts Consumption (New)


1. Prerequisites

The following content applies to the New Part consumption workflow. Simple Mode, Standard Mode, and Advanced Mode all use the New Part consumption process, though some capabilities differ between modes.

Note: If your organization is still using the legacy part consumption, we strongly recommend upgrading to the New Part flow as soon as possible. To upgrade, contact ShareCRM Support.

2. Scenario Overview

Service Providers or repair sites consume parts while processing Work Orders. Some parts used for installation are consumed as New Parts. Parts used for repair or replacement may be consumed as New Parts or returned as Old Parts. All of these actions must be recorded through the Spare Parts consumption process.

3. Capabilities Unique to the New Part Consumption

Compared with the legacy part consumption, the New Part consumption significantly expands functionality, including but not limited to:

  1. Upgraded to a parent-child (master-detail) structure: a single Spare Parts consumption record can consume multiple parts.
  2. Parts can be consumed from a personal Inventory or from a Warehouse (consuming from Warehouse is only supported in Advanced Mode).
  3. Batch and serial number support (serial/batch support available only in Advanced Mode).
  4. Old Parts can be selected directly from the device BOM.
  5. After consumption, the device BOM updates automatically.
  6. After consumption, the system automatically creates a device BOM replacement record (Advanced Mode only).
  7. New Parts can be selected from the Service BOM (Advanced Mode only).

4. Web Function Entry Points

  • In the Web, go to Service Connector -> Spare Parts Management to open the Spare Parts Management list page.
  • Click Spare Parts Consumption to open the Spare Parts Consumption list.

Click the New button at the top-right to create a Spare Parts consumption record.

When creating a Spare Parts consumption record, the Work Order field is required.

Simple Mode

  • No need to select part source; no selection of personal Inventory or Warehouse is required.
  • In Simple Mode, consumed parts are chosen from the Products catalog.
  • Simple Mode does not support batch/serial number tracking.

Standard Mode

  • No need to select part source; no selection of personal Inventory or Warehouse is required.
  • In Standard Mode, consumed parts are chosen from the personal Inventory detail list.
  • Standard Mode does not support batch/serial number tracking.

Advanced Mode

  • You must select the part source; you can choose either personal Inventory or Warehouse.
  • If you choose personal Inventory, the system consumes from the engineer’s personal Inventory; consumed parts are selected from the personal Inventory detail list.
  • If you choose Warehouse, you must select the Warehouse for New Part consumption and the Warehouse for Old Part return; consumed parts are selected from the stock available in the chosen New Part consumption Warehouse.
  • Advanced Mode supports batch and serial number tracking.
