Spare Parts Shipping Order
1. Prerequisites
The Spare Parts Shipment object is initialized only when Spare Parts Advanced Mode is enabled and your organization uses the new Spare Parts Consumption. Simple Mode or Standard Mode for spare parts does not initialize this object.
Note: If your organization has enabled Spare Parts Advanced Mode but the Spare Parts Shipment object does not appear in Service Connector, your organization may still be using the legacy Spare Parts Consumption. You must upgrade to the new version before Spare Parts Shipment can be initialized and used. To upgrade, contact ShareCRM Support.
2. Scenario Overview
The head office or central Warehouse fulfills spare parts requests either all at once or in multiple shipments. These fulfillments are carried out by creating Spare Parts Shipment records.
3. Create a Spare Parts Shipment
- In Web, go to Service Connector -> Spare Parts Management.
- Click Spare Parts Shipment to open the Spare Parts Shipment list page.

Click the New button in the top right to create a Spare Parts Shipment.

When creating a Spare Parts Shipment, shipment line items must be selected from existing Spare Parts Requests.

- Only Spare Parts Requests with status Pending Shipment, Partially Shipped, or Partially Received can be shipped.
- You can select multiple Spare Parts Requests at once if they share the same receiving method.
Spare Parts Shipment can have an approval workflow. After approval, the system automatically creates an outbound Inventory transaction from the shipping Warehouse and deducts the corresponding Inventory.
4. View Shipment Logistics Information

If your organization has purchased the Logistics Tracking package and has remaining valid query credits, you can click View Logistics on the Spare Parts Shipment list or detail page to retrieve the shipment’s tracking information.
5. Spare Parts Receipt

When spare parts are received, perform the receipt action on the corresponding Spare Parts Shipment.
After receipt: - If the parts are received into a Personal Inventory, the system automatically creates a Material Requisition Order and increases the quantities in the Personal Inventory details. - If the parts are received into a Spare Parts Warehouse, the system automatically creates a Spare Parts Inbound Order and increases the corresponding Inventory.
