How to Use Chats


I. Chats Settings

1.1 Chats Entry Configuration

Click your [Profile Picture] → [Main Navigation Settings] to toggle the display of the Chats app entry in the main navigation.

1.2 Chats Functionality Settings

Click your [Profile Picture] → [Chats Settings] to configure:
- Interface mode: Display Chats in the main navigation or as a floating panel on the right.
- Message alerts: Enable/disable notification sounds.
- Font size: Adjust the text size in conversations.

Note: In floating panel mode, the Chats entry hovers on the right side and can be repositioned vertically. Clicking it opens a fixed-size chat window.

1.3 Chats Interface Scaling

Adjust font size in the client using shortcuts:
- Zoom in: Shift + Ctrl + "+"
- Zoom out: Ctrl + Tab + "-"


II. Initiating Conversations

2.1 From Chats List (Create 1:1/Group Chat)

Click the + icon in the Chats list to start a conversation (1:1 or group). Add participants via:
- Search: Enter keywords to locate colleagues.
- Org Structure/Alphabetical view: Browse by department or name.
- Bulk import: Enter names and confirm.

2.2 From Contacts (Create 1:1 Chat)

  • Web/PC: Click [Chats] below a colleague’s card to jump to a 1:1 chat.

  • Mobile: Tap the icon next to a colleague’s name, then select [Send Message].

2.3 Create/Join Department Group

Note: A department group becomes visible in Chats only after at least one member joins.

Entry: Contacts → My Primary Department → [Join Department Group]

III. Core Features

3.1 Basic Chat Functions

3.1.1 Send Content

Share Images, Files, Cloud Drive items, emojis, screenshots, or start a Conference. Quickly create Tasks, Calendar events, Reports, approvals, or link CRM objects.

Pin frequently used links for one-click access by group members.

3.1.3 Bulk Message Actions

Right-click a message → [Multi-select] to delete, forward, or log sales records in bulk.

3.1.4 Reply to Specific Messages

Right-click → [Reply] to thread responses. Click replies to jump to the original message.

3.1.5 Forward to Chats

Share Posts, Reports, Calendar events, approvals, or sales records from Feeds or CRM to Chats.

3.1.6 Read Receipts

View read timestamps. Group owners can check read status and remind unread members.

3.1.7 Message Recall

  • Group owners: Recall any message anytime.
  • Users: Recall 1:1 messages within 30 minutes (option hides afterward).

3.1.8 Message Translation

Right-click → [Translate]. Set target language in [Profile Settings → Language & Timezone → Translate to].

3.1.9 Group Collaboration Tools

Polls, announcements, mentions. Right-click messages to pin to boards.

Search across chats, groups, records, or documents:
- Chats list: Find colleagues, groups, or service accounts.
- Chat window: Search history with keyword navigation.

3.3 Chat Filtering

Categorize chats for quick access:
- Mobile: Tap filter icon (top-right) → Slide-up menu.
- Web: Currently in beta (request access).

3.4 Status

Set real-time statuses (e.g., “In Meetings”, “On Business Trip”) with auto-reply and sync options. Online status is configurable only for support/Work Order staff.

3.5 Service Accounts

Internal portals for HR/IT support (e.g., policy queries, Work Order submissions).
Entry:
- PC: Chats list or Contacts header.
- Web/Mobile: Chats list, Contacts → Service Accounts, or search.

3.6 Group Assistants

Tools like Attendance Tracker (showing member status/rankings).

3.7 Work Alerts

Enable [Unified Notifications] (beta) to display CRM/work alerts (@mentions, approvals) in Chats.

3.8 Group Management

Right-click group → [Group Settings] to:
1. Configure permissions.
2. Transfer ownership, clear history, or disband the group.
