How to Use Chats


I. Chats Settings

1.1 Chats Navigation Entry

Click your [Profile Photo] → [Main Navigation Settings] to toggle the display of the Chats app entry in the main navigation.

1.2 Chats Functionality Settings

Click your [Profile Photo] → [Chats Settings] to configure:
- Interface mode: Display Chats in the main navigation or as a floating panel on the right.
- Message settings: Enable/disable notification sounds and adjust font size for conversations.

Note: In floating panel mode, the Chats entry hovers on the right and can be dragged vertically. Clicking it opens a fixed-size chat window.

1.3 Chats Interface Settings

Adjust font scaling in the client using shortcuts:
- Zoom in: Shift + Ctrl + "+"
- Zoom out: Ctrl + Tab + "-"

II. Initiating Conversations

2.1 Starting a Chat from the Chats List (1:1/Group)

Click the + icon in the top-right corner of the Chats list to start a conversation (1:1 or group). Add participants via:
- Search: Enter keywords to locate colleagues.
- Org Structure/Alphabetical View: Browse by department or name.
- Bulk Import: Enter names and confirm.

2.2 Starting a Chat from Contacts (1:1)

  • Web/PC: Click the [Chats] button below a colleague’s card to jump to a 1:1 chat.

  • Mobile: Tap the icon next to a colleague’s name, then select [Send Message].

2.3 Creating/Joining a Department Group

Note: A department group becomes visible in the Chats list only after at least one member joins.

Entry:
- Web/PC: Contacts → My Primary Department → [Join Department Group].

III. Core Features

3.1 Basic Chat Functions

#### 3.1.1 Sending Content
Share Images, Files, Cloud Drive items, emojis, screenshots, or start a Conference. Quickly create Tasks, Calendar events, Reports, approvals, or link CRM objects.

Pin frequently used links for one-click access by group members.

3.1.3 Bulk Message Actions

Right-click a message, select [Multi-Select], then perform batch actions (delete, forward, create sales records).

3.1.4 Replying to Specific Messages

Right-click a message and select [Reply] to thread responses. Click the reply to jump to the original message.

3.1.5 Forwarding to Chats

Share Posts, Reports, Calendar events, approvals, or sales records from Feeds or CRM to Chats.

3.1.6 Read Receipts

Displays read time. Group owners can view read statuses and remind unread members.

3.1.7 Message Recall

  • Group Owners: Can recall any message anytime.
  • Users: Can recall 1:1 messages within 30 minutes.

3.1.8 Message Translation

Manually translate messages via right-click. Set the target language in [Personal Settings → Language & Time Zone → Translate To].

3.1.9 Group Collaboration Tools

Includes polls, announcements, mentions, and pinning messages to boards.

3.2 Search Capabilities

Search across chats, groups, records, documents, or service accounts. In chat windows, search past messages and navigate results with arrow keys.

3.3 Chat Filtering

Filter chat lists by type for quick access.
- Mobile: Tap Filter in the top-right corner.
- Web: Currently in beta (request access).

3.4 Work Status

Set real-time statuses (e.g., “In a Meeting,” “On Business Trip”) with auto-replies and sync options. Online status is configurable only for support roles.

3.5 Service Accounts

Internal hubs for HR/IT support (e.g., policy queries, ticket submissions).
Access:
- PC: Chats list or Contacts header.
- Web: Chats list or Contacts → Service Accounts.
- Mobile: Chats list, Contacts category, or search.

3.6 Group Assistants

Add tools like Attendance Tracker (showing member statuses/rankings).

3.7 Work Reminders

Display CRM/work alerts (e.g., approvals, @mentions). Request beta access for [Chats – Unified Notifications].

3.8 Group Management

Right-click a group → [Group Settings] to:
1. Manage basic functions.
2. Dissolve/transfer ownership, set permissions, clear history, or exit.
