Background
Marketing teams often need to send large-scale campaign invitations via SMS or email. To improve credibility and open rates, each message must include accurate and up-to-date personalized information, such as the recipient’s current company name, job title, and name.
Pain Points
With the current Target Audience selection logic, personalized content in outbound messages may become outdated or mismatched, failing to reflect the customer’s latest status.
Audience Filtering: The system first filters business records (such as leads, customers, or contacts) based on defined criteria (e.g., “all leads with Director-level titles”).
Recipient Matching: It then identifies all associated marketing users (i.e., contact methods such as phone numbers or email addresses) linked to those records.
Data Population: When sending messages, the system selects one record (not necessarily the most recent) from all business records associated with the contact method to populate fields such as name, title, and company.
Resulting Issues:
A single contact method (e.g., a phone number) may be associated with multiple records created at different times and reflecting different customer statuses. If the system cannot intelligently identify and select the most recent and most accurate record, outbound messages may contain outdated information. For example, a customer may have been promoted, changed companies, or updated their profile, yet still receives an invitation using their old identity—making the communication feel impersonal and unprofessional.
