Configuring Post-Approval Process Actions


I. CRM Notifications

1.1 CRM Notification Feature

The system automatically sends messages to the workflow initiator upon approval, rejection, or withdrawal.

1.2 Configuring CRM Notifications

  • Select recipients and customize notification content (up to 500 characters).

II. SMS Notifications

2.1 SMS Notification Feature

Workflows can send SMS messages to designated recipients.

2.2 Configuring SMS Notifications

  • Select existing users with registered mobile numbers or manually enter recipient numbers (separated by semicolons).
  • Customize SMS content or use predefined templates.

III. Field Updates

3.1 Field Update Feature

Automatically modifies specified fields upon workflow approval.

3.2 Configuring Field Updates

  • Supported field types:
    • Selection fields (Boolean, radio buttons, checkboxes).
    • Numeric fields (integers, decimals, currency).
    • Date/time fields and user fields.
  • Applies to custom fields and certain predefined fields.
  • If updated values violate rules, the system retains the original value (e.g., changing reimbursement status to “Processed” after approval).

IV. Email Notifications

4.1 Email Notification Feature

Workflows can send emails to designated recipients.

4.2 Configuring Email Notifications

  • Select recipients from system users/groups, CC/BCC recipients, or manually enter email addresses (separated by semicolons).
  • Use predefined email templates.

V. External Notifications

5.1 External Notification Feature

Sends alerts to interconnected applications and external stakeholders (e.g., creators or external owners).

5.2 Configuring External Notifications

  • Select an interconnected application and recipients (e.g., downstream enterprise Roles or data-linked variables).
  • Customize content with object fields, workflow variables, or approval comments, and include redirect links.

VI. Executing APL Functions

6.1 APL Function Feature

Enables advanced operations through custom functions.

6.2 Configuring APL Functions

  • Use existing functions or create new ones.
  • For new functions, specify:
    • Code name and API Name.
    • Namespace, return type, bound Account, and description.
