Configuring Post-Approval Process Actions


1. CRM Reminders

1.1 CRM Reminder Overview

The workflow automatically sends a message to the requestor when a process is approved, rejected, or withdrawn.

1.2 Configure CRM Reminders

Select the recipients and compose the reminder content (up to 500 characters).

2. SMS Notifications

2.1 SMS Notification Overview

The workflow can send SMS messages to specified users.

2.2 Configure SMS Notifications

  • You can choose existing users and their phone numbers from the system or specify recipient phone numbers directly (separate multiple numbers with a semicolon).
  • SMS content can be custom-written or populated from a template.
Note: This feature requires an add-on purchase to enable.

3. Field Updates

3.1 Field Update Overview

After a workflow is approved, you can automatically update specified fields.

3.2 Configure Field Updates

  • Supported field types for updates include choice fields (boolean, single-select, multi-select), numeric fields (integer, decimal, currency), date/time fields, and user fields.
  • You can update custom fields and some predefined fields.
  • If the new value violates validation rules or encounters an exception, the field will not be updated. Example: after an expense approval, automatically set the expense status field to “Reimbursed.”

4. Email Notifications

4.1 Email Notification Overview

The workflow can send emails to designated recipients.

4.2 Configure Email Notifications

  • You can select recipients or user groups, add CC and BCC from the system, or enter external email addresses directly (separate multiple addresses with a semicolon).
  • Email content can be populated from templates.

5. External Notifications

5.1 External Notification Overview

You can notify users via selected Interconnection apps and selected recipients (including the creator and external owners).

5.2 Configure External Notifications

  • Choose an Interconnection app and either variables related to user data within that app or external Role personnel from downstream companies (you must select at least one).
  • Notification content supports object fields, workflow variables, and node approval comments, and you can specify a corresponding deep link.

6. Execute APL Functions

6.1 APL Function Overview

Execute APL functions to perform more advanced operations.

6.2 Configure APL Functions

  • You can select an existing function or create a new one.
  • When creating a new function, provide the code name, API Name, namespace, return type, bound Account, and description.
