Budget Management overview
Learn how ShareCRM TPM Budget Management positions the closed loop, core capabilities, and roles.
Business value
After your enterprise purchases Budget Management, you complete closed-loop budget control in one app. The Business Process covers budget subjects, expense budget sheet creation, budget adjustments, budget consumption, and income and expense entries. Finance and business teams keep spending within budget and track every change in budget amounts.
Budget Management lets you configure control methods for your enterprise and build a flexible process. Budget types and budget consumption rules provide a concise setup experience for planning, control, Budget Carryforward, and roll-up strategies.
Core concepts
| Concept | Description |
|---|---|
| Budget subject | Defines the subject where budget expenses occur. Hierarchy and content can differ by organization. The system provides preset master data. After you maintain it, budget transactions can reference it. |
| Budget type | Fits different organization management models. It creates parent-child relationships between budget sheets and sets planning, control, Budget Carryforward, and roll-up strategies. |
| Expense budget sheet | The Budget Sheet you create by budget type, budget level, budget period, budget dimension, and Budget Department. It is the base for Budget Breakdown, adjustment, Budget Carryforward, and consumption. |
| Budget Breakdown | Issues Parent Department budget amounts down the hierarchy. You can break amounts down into a new Budget Sheet or an existing Budget Sheet. |
| Budget adjustment | Uses a Budget Adjustment Form to record Budget Supplement, Budget Deduction (including roll-up), and Budget Allocation. |
| Budget Carryforward | Moves the available amount on the current expense budget sheet to the next period so you can keep using it. |
| Budget summary table | In coarse-control scenarios, the system automatically summarizes expense budget sheets of the same type and level by control period and control dimension. |
| Budget income and expense entries | The system automatically records expense budget sheet amount changes from related budget transactions so you can trace how amounts are used. |
| Budget accrual record | An accrual record that the system generates after a budget accrual rule is triggered by a business object. |
Lifecycle
Budget amounts flow through this closed loop:
Maintain master data and rules → Create expense budget sheets → Break down and issue amounts → Consume or accrue in business transactions → Budget Supplement / Budget Deduction / Budget Allocation → Period Budget Carryforward → Reconcile in the summary table and entries
- Create: Create an expense budget sheet by type, level, period, dimension, and department.
- Issue: A parent breaks amounts down into a child new sheet or an existing sheet. The lowest level cannot be broken down further.
- Execute: Business objects deduct budget by consumption rules, or generate accrual records by accrual rules. The system also writes income and expense entries.
- Correct: Use Budget Supplement, Budget Deduction, roll amounts up to the parent, or run Budget Allocation between budget sheets that share the same parent.
- Carry forward: Move the remaining available amount in the current period to the matching Budget Sheet in the next period.
- Reconcile: Review results in the summary table, income and expense entries, and accrual records.

Business Scenario
A dealer has a 2022 self-run beverage campaign budget of 2 million. Finance creates the company budget from the operating plan. Parent operating units run Budget Breakdown down to lower organizations and dealers, and form budget sheets in the “dealer + marketing expense subject” dimension.
When business users apply for campaign expenses, they use the dealer Budget Sheet. The system matches and occupies the requested amount. After Campaign Expense Write-off and Expense Write-off, the system deducts the amount. If demand changes across organizations, a parent can run Budget Breakdown or adjust the budget. At month end, operating unit A can carry forward the remaining 100 in January to February by rule. This forms a complete loop of creation, Budget Breakdown, execution, adjustment, and Budget Carryforward.
