Budget Management Business Process overview

Master the closed-loop main flow of Budget Management, from creation and usage through reconciliation.

Business value

Finance and business teams can collaborate on the same path: create sheets first, then break them down, then consume or accrue, then adjust and carry forward, and finally reconcile with summaries and entries.

Main flow

Master data and rules are ready ──► Includes budget subjects, budget types, and budget consumption/accrual rules
        │
        ▼
Create expense budget sheets ──► A budget summary table is generated when coarse-control conditions are met
        │
        ▼
Break down and issue to lower levels (new sheet or existing sheet)
        │
   Budget Sheet amount changes
├─► Business objects deduct budget by consumption rules
├─► Business objects generate accrual records by accrual rules, and accrued amounts are transferred into the Budget Sheet
└─► The system writes budget income and expense entries
        │
        ▼
Budget Supplement / Budget Deduction (can roll up) / Budget Allocation under the same parent
        │
        ▼
Carry forward the current available amount to the next period
        │
        ▼
Review the summary table, income and expense entries, and accrual records
Stage What you do Where you do it Who does it
Create Create an expense budget sheet by type, period, dimension, and department Budget Management > Expense Budget Sheets Users with expense budget sheet permission
Budget Breakdown Issue parent amounts to lower levels Budget Management > Budget Breakdown Users with Budget Breakdown permission

Accrue Receivable, shipment, and other objects trigger accrual Driven by accrual rules; results appear in accrual records The system runs this when the business occurs
Adjust Budget Supplement, Budget Deduction/roll-up, or Budget Allocation under the same parent Budget Management > Budget Adjustment Form or the action column in the expense budget sheet list Users with Budget Adjustment Form permission
Budget Carryforward Move the current available amount to the next period Budget Management > Budget Carryforward Users with Budget Carryforward permission
Reconcile Review coarse-control summaries, amount changes, and accrual records Summary table / income and expense entries / accrual records Users with the related object permission

Key constraints

  • For Budget Breakdown, first select the budget type and the current level. The lowest level cannot be broken down further.
  • Budget Allocation is allowed only between expense budget sheets that share the same parent Budget Sheet.
  • Income and expense entries and accrual records are generated by the system. In this flow, you only view them. You do not create them manually.
  • The budget summary table is generated automatically only after an expense budget sheet is created successfully and the control policy is not strict control by planning dimension.
In carryforward, confirm the Transfer-in Budget Sheet before you submit.
