Maintain budget master data

Prepare the Account, product, and Product Category data required for budget creation, so later budget sheets and rules can reference them.

Overview

Budget Management uses the Account that owns the budget (dealer), subjects, products, and Product Category. For example, if dealer XX has a 2022 self-run beverage campaign expense of 2 million, you first need that dealer, beverage-related products and categories, and the matching budget subject.
For complete subject maintenance, see Configure budget subjects. This article covers only Account, product, and Product Category.

Before you start

❗
  • Role permission: You can maintain Account, product, and Product Category master data.
  • Dependency: If you need to create budgets by dealer, first confirm that the related Account Record Type already exists.

Configuration steps

Maintain Account data

  1. Confirm that Accounts that participate in the budget already exist in the system.
  2. For dealer scenarios, verify that the Record Type of the Account is dealer.
  3. Complete the Account information required for budget matching, then save.
Account Data Maintenance

Maintain product data

  1. Confirm that products included in the budget already exist.
  2. Check data completeness against the Product Scope that creation or consumption rules might use.
  3. Save.
Product Data Maintenance

Maintain Product Category data

  1. Confirm that Product Category can cover the budget grain, for example beverages.
  2. Assign related products to the matching category.
  3. Save.
Product Category Data Maintenance

Verification

  • When you create an expense budget sheet, you can select the target Account, product, and Product Category.
  • Using “test dealer + beverage + self-run campaign expense” as an example, all three types of master data can be referenced.

Notes

  • Incomplete master data can prevent a Budget Sheet or rule from matching the correct object data.
  • Manage subjects only in budget subjects.
