View and use reports


This article describes the features, operations, and rules for viewing and using reports.

Before you begin

[!IMPORTANT] Confirm that you have access to the corresponding BI pages. For create, edit, or management operations, you also need the matching management permissions.

View a standard report

  • Standard report viewing page layout:
    • Filter scenario tabs: used to switch between different scenarios.
    • Header area: supports sorting and data filtering on each column.
    • Data range: lets you modify preset filter conditions and choose whether to expose them.
    • Data display area:
      • Grouping area: displays each level of grouping in a merged manner.
      • Detail area: displays detail data within a group as rows.
      • Subtotal area: aggregates Data Statistics for each level of grouping.
      • Grand total area: aggregates all data as a total.

Data range

  • When viewing a report, you can modify the unlocked condition values in the data range dialog and choose whether to expose them. Web display:

  • When viewing a report, if the chart itself has a statistics mode configured, you can check whether to show details. Web display:

Header data filtering

  • When viewing a report, you can quickly filter data directly from the column header.
    • The conditions you set are displayed above the header; click edit to modify them, or click the X to delete them.
    • Depending on the data type of the current column, the input method offered differs. Web display:

Adjust column width in view mode

  • Hover the mouse between two columns and drag to adjust the column width. This only applies to the current view session. Web display:

Group field sorting

  • Use the header dropdown to set ascending, descending, or cancel sorting.
  • Click the header directly to quickly toggle ascending/descending order.
  • Note: Group fields do not support canceling sorting; they default to ascending order. Web display:

Mobile display: - Show full / Reset to Default: equivalent to adjusting column width on web; cannot be customized. - Freeze to this column: freezes everything up to the currently selected column. - Ascending / Descending: toggles the sort order.

Statistics column sorting

  • Supports sorting on “statistics columns”.
    • Example: A report has the first grouping Primary Department, the second grouping Order Status, and the statistics column Sales Order Amount - Sum. In this case, sort by Sales Order Amount - Sum. Web display:

Mobile display: - Compared with group fields, there is no “Freeze to this column” option.

  • Sorting rules:
    • First, sort the subtotals of each department in the first grouping (the data in the red box above).
    • Then, within each department, sort the subtotals of Shipping Status (the data in the green box above).
    • Finally, within each status, sort each detail order amount (the data in the blue box above).
    • Statistics column sorting and group sorting cannot be performed at the same time.
  • When a statistics column has multiple statistics modes, you must select one mode before sorting; that is, you can only sort by one mode at a time.

Column freezing

  • Use the header dropdown - Freeze to this column to freeze this column and all columns to its left; the remaining columns on the right can be viewed with horizontal scrolling.
  • Note: All grouping columns are frozen by default.

  • In a report, clicking the primary attribute of any business object links to that object’s detail page. For example, “Account Name” under “Customer”, or “Sales Order No. (Order Number)” under “Sales Order”. Web display:

Department type field drill-down

  • When using employee department fields (Primary Department, Assigned Department) as grouping fields, you can display them as a flattened Org Structure or as a hierarchical summary:
    • Tile Display: all levels of departments are displayed at once.
    • Hierarchical summary: displays the highest-level department within the viewer’s permissions. When a level has sub-departments, the text is shown in blue; click to drill down to the next level, and the header shows the drill-down path.
  • When creating a report, if you drag a department field (Primary Department, Assigned Department) to the header without using it as a grouping field, the User Primary Department or Assigned Department is displayed. When used as a grouping field with hierarchical summary:
    • For Primary Department, it displays as “Whole Company”. On the preview and detail pages, you can click “Whole Company” to drill down to the next level. Click through successively to view details along the Org Structure; drilling down to an individual stops. Click the drill-down path at the top of the report to return to any level shown in the path.
    • For Assigned Department, it displays the highest level of the department the employee belongs to.
  • When using a department field (Primary Department, Assigned Department) to filter departments in the data range, you can select either the whole company or specific departments. For example, set Owner’s Primary Department to Operations and Marketing in the data range. In the report, under Owner’s Primary Department, only these two departments are displayed, and the preview page drills down starting from the department level. > [!NOTE] >

Switch time zone

  • For enterprises that have enabled the multi-time-zone feature, viewing a report supports switching the time zone. After switching, the report reflects aggregated data according to the latest time zone.

View object relationships

  • Reports support viewing object relationships in view mode and preview mode. Hover over “Object Relationships” to see the objects and object relationships used by the current chart.

Other

  • Forward: When you forward a report to other users, those users see only the data within their own permissions.
  • Share: Sharing a report sends it as an Excel sheet. All users with Visibility see the same report.
  • Export: When you export from the report viewing page, the currently applied filter scenario, data range, and header filter conditions are included, so the exported data matches what you currently see.
    • When you export from the action bar in the report list, the default filter scenario and data range are used.
  • Subscribe: Each user receives subscription reports scoped to their own permissions; a subscription does not expand their visible data range. > [!NOTE] >

  • Crosstab report viewing page layout:
    • Filter scenario tabs: used to switch between different scenarios.
    • Header area: supports sorting on row groupings and column groupings, and data filtering across the entire header area.
    • Data range: lets you modify preset filter conditions and choose whether to expose them.
    • Data display area:
      • Grouping area: displays each row and column grouping in a merged manner.
      • Statistics area: displays Data Statistics within a group as rows.
      • Subtotal area: aggregates data for each level of row and column grouping.
      • Grand total area: aggregates all data across rows and columns as a total.

  • In crosstab reports, grouping fields are frozen by default; Roll-Up Summary fields do not support freezing settings.

Department type field display and drill-down

In crosstab reports, different types of department fields, when used as groupings, support different levels of capability and produce different display effects: - Primary Department: when only Primary Department is used as a grouping, it is aggregated by default; clicking expands the next level, until it finally shows the owner.

  • Primary Department: when both Primary Department and Owner are used as groupings, the display is Tile Display and drill-down is not supported.

  • Assigned Department and custom departments: displayed in Tile Display by default, drill-down is not supported.

Note: Filter scenarios, data range, header data filtering, group field sorting, linking to the CRM detail page, switching time zones, and other related content are the same as for standard reports. See the corresponding sections for details.

Expected results and verification

After completing the operations on this page, check the corresponding report, chart, or joined table to confirm that the display result matches expectations. If a field, metric, or operation entry is unavailable, first confirm that the selected theme, data range, and permissions match.
