Manage lead holding quotas


Understand Lead holding quota checks.

Overview

Lead holding quota controls how many Leads a sales rep can follow up with at the same time. When the limit is exceeded, the system restricts further claiming, assignment, or Owner changes to prevent long-term Lead backlog.

Before you start

[!IMPORTANT] - Role permissions: Sales rep or account manager. - Prerequisite setup: The administrator has configured Lead holding quota rules. - Applicable actions: Claiming Leads, assigning Leads, changing Owners, and similar actions may trigger checks.

Steps

  1. Before you claim, receive assigned, or receive transferred Leads, review the Leads you are currently following up with.
  2. Prioritize Leads in the Pending or In Follow-Up status.
  3. For Leads that have no confirmed value, set them to Invalid or Voided according to business rules.
  4. For Leads that are no longer suitable for your follow-up, perform Return according to rules.
  5. For mature Leads, perform Convert in time.
  6. After you release follow-up capacity, claim or receive new Leads.

Expected results and verification

  • When the holding quota is not exceeded, claiming, assignment, and Owner changes can continue.
  • When the holding quota is exceeded, the system blocks related actions or processes only eligible records.

Rules

  • Holding quota indicates the number of in-progress Leads that meet conditions and are currently held by a sales rep.
  • Administrators can configure holding quota rules by employee, department, user group, or condition.
  • If no rule is matched, holding quota is usually not restricted.
  • If multiple rules are matched, the smaller limit applies.
  • Batch claiming or batch assignment may produce partial success and partial failure.
