Configure Coupon Instances


Apply a Coupon to a specific Account.

Overview

A Coupon Instance is the actual benefit that an Account owns and can use. It is generated based on a Coupon Program. The instance records Applicable Account, Face Value, Usage Status, and usage time. The Account can use it in the next order, and it reduces Amount Pending Collection. For example, after an Account claims a 100-10 Coupon, the corresponding instance is generated under that Account.
When the Account places an order, the system consumes the Coupon Instance. After usage, the Status automatically changes to Used.

Before you begin

[!IMPORTANT] - Prerequisite configuration: A Coupon Program has been created. - Role permission: You need Coupon Instance management permission. - Dependency: The Applicable Account is confirmed.

Configuration steps

  1. Open the Coupon Instance list.
  2. In the Coupon Instance list, create a Coupon Instance.
  3. In Applicable Account, select the Account that owns this Coupon.
  4. In Coupon Program, select the program for the instance.
  5. Confirm Face Value based on the program settings.
  6. In Owner, select the User responsible for the Coupon.
  7. In Assigned Department, select the Department that owns the Coupon.
  8. Save the Coupon Instance.

Field descriptions

Field Description
Applicable Account Specifies which Account owns and can use this Coupon.
Coupon Program Indicates which program rule the instance follows.
Face Value The actual benefit amount of the Coupon. Flexible Coupon Instances can adjust Face Value separately. For example, if the program is 100-10, the instance can be changed to 100-8 or 100-15.
Usage Status A Read-Only Field. It is Not Used by default and automatically changes to Used after usage.
Usage time A Read-Only Field. It is updated automatically when the Coupon is used.
Product Condition Description Read-Only display from the related Coupon Program. For example, the Account must buy 500 ml beverage products before the Coupon can be used.
Owner The User responsible for the Coupon Instance.
Assigned Department The Department that owns the Coupon Instance.

Flexible Coupon Instances

If the selected Coupon Program is set as a flexible Coupon, the administrator can adjust the specific Face Value on the instance. For example, if the program is 100-10, the instance can be adjusted to 100-8 or 100-15.
[!NOTE] Adjusting Face Value only changes the instance benefit amount. The instance still follows the other usage conditions in the selected Coupon Program.

Validation

  1. In the Coupon Instance list, confirm that the new instance is saved.
  2. Open the instance details and confirm that Applicable Account and Coupon Program are correct.
  3. Confirm that Usage Status is Not Used.
  4. In the Account order, check whether the instance meets available conditions.

Notes

[!WARNING] A Coupon Instance belongs to a specific Account. If Applicable Account is incorrect, the order shows an Account and Coupon mismatch during usage.
[!NOTE] Product Condition Description comes from the Coupon Program. It helps users quickly understand which products must be purchased before the Coupon can be used.
