Configure non-pool account withdrawal rules
Overview
Withdraw non-pool Accounts that have no follow-up or conversion for a specified period.
Before you begin
- You need Account rule management permissions.
- Create the Account Pool that receives withdrawn Accounts.
- Define the departments covered by each rule.
Configure a rule
- Select the applicable department in the non-pool Account rules.
- Configure Account filter conditions.
- Select no automatic withdrawal or automatic withdrawal.
- Calculate withdrawal time from follow-up status or Deal Status.
- Select the destination Account Pool.
- Choose whether to include elapsed days.
- Set priorities for overlapping rules.
- Configure no-follow-up or no-deal reminders.
- Save the rule.

Handle users in multiple departments
When a user belongs to several departments, specify which department rule applies. A department without a withdrawal rule does not withdraw Accounts automatically.
For a new user or an Org Structure change, select one of these matching methods:
| Matching method | Processing logic |
|---|---|
| Match Primary Department only | Apply the rule for the user’s Primary Department; apply no rule when none matches |
| Match Primary Department and parent departments | Match the Primary Department first, then search parent departments until a rule matches or the top level is reached |
A configuration change does not recalculate all existing Accounts immediately. After valid follow-up recalculates withdrawal time, the new department matching method applies.

Verify the configuration
- Select a test non-pool Account.
- Confirm the expected department and filter condition match.
- Check the destination Account Pool, withdrawal time, and Reminder Settings.
