Configure account pool withdrawal and reminder rules


Overview

Automatically withdraw Account Pool Accounts that have no follow-up or conversion for a specified period.

Before you begin

  • You need Account Pool management permissions.
  • The target Account Pool exists.
  • Define the Follow-up Behavior and Deal Behavior used by the rules.

Configure the rules

  1. Select the Account scope in the target Account Pool’s withdrawal rules.
  2. Select no automatic withdrawal or automatic withdrawal.
  3. Calculate withdrawal time from follow-up status or Deal Status.
  4. Select the current or another Account Pool as the withdrawal destination.
  5. Set how many days in advance the system sends a reminder to the owner.
  6. Set priorities for overlapping rules.
  7. Choose whether to include days elapsed before the rule takes effect.
  8. Configure no-follow-up or no-deal reminders.
  9. If required, configure extension eligibility, Processing Time, duration, and Approval.
  10. Save the rules.

Understand elapsed-time calculation

Assume the original rule withdraws an Account 30 days after a claim. The Account has been held for 10 days when the rule changes to 25 days:
  • If elapsed days are included, the Account can be held for 15 more days.
  • If elapsed days are excluded, the system starts a new 25-day period.
Note: An Account that matches no withdrawal rule is not withdrawn automatically.

Understand matching and extensions

  • When several withdrawal rules match, the rule with the highest priority applies.
  • Rules can match by the Account’s department or the owner’s department. Review results after department changes.
  • Eligible owners can submit extension requests. Configuration determines approval, extension duration, and the new withdrawal time.
  • Give owners enough time to respond to a withdrawal reminder.

Verify the configuration

  1. Use a test Account to verify the scope and Validation Rules.
  2. Confirm that Remaining Retention Time is correct.
  3. Confirm the reminder and destination Account Pool.
