Configure lead assignment rules
Configure default assignment, fixed assignment, and round-robin assignment for Lead Pools.
Overview
Lead assignment rules automatically or manually distribute Leads from a Lead Pool to the right owner. A rule usually contains two parts: Data Range and assignee. This configuration fits region-based, industry-based, grade-based, or personnel-based routing.
Before you begin
[!IMPORTANT] - Role permission: CRM administrator or the Lead Pool administrator. - Prerequisite configuration: The Lead Pool is created and Lead Pool members are added. - Dependencies: If retention limits are enabled, confirm that the assignee is not over the limit.
Configure the default assignee for a Lead Pool
- In CRM Management > Business Rule Management > Lead Pool Management, open the target Lead Pool.
- In the base settings, find Default Lead Assignee.
- Select the employee who should receive Leads by default.
- Click Save.
[!NOTE] After a Lead enters this Lead Pool, the system can assign it to the specified employee by default. This approach fits Lead Pools with a fixed owner.
Configure Lead Pool assignment rules
- In Lead Pool Management, edit the target Lead Pool.
-
In Lead Pool Assignment Rules, click Add Assignment Rule.

- In the rule settings, configure the Data Range.
- Set the assignee.
- Select an assignment method. You can choose fixed assignment or round-robin assignment.

- If you configure round-robin assignment, select a fixed personnel scope or define the scope by personnel attributes.
- Save the rule.
- If multiple rules exist, drag them to adjust the priority.

Assignment method reference
| Assignment method | Description | Use case |
|---|---|---|
| Fixed assignment | The system assigns qualifying Leads to a specified member. | A single specialist or dedicated team handles the Lead. |
| Round-robin assignment | The system assigns Leads sequentially in a user queue. | You need both fairness and efficiency. |
| Personnel-attribute scope | The system dynamically filters assignees based on user fields. | The personnel scope changes often. |
Rule reference
- Assignment rules support drag-and-drop priority changes.
- Assigned users usually come from the current Lead Pool members.
- Lead Pool administrators can assign Leads manually in the front-end Lead Pool.
- After manual assignment, the owner changes to the selected member and the Lead status changes to Pending.
- Assignment actions can be affected by retention-limit rules.
Validation
- Create a test Lead that matches the data scope of the assignment rule.
- Confirm that the Lead enters the target Lead Pool.
- Check whether the Lead owner matches the expected fixed assignment or round-robin assignment result.
- Try to assign a Lead to a user who exceeds the retention limit and confirm that the system enforces the limit.
Notes
[!WARNING] The more assignment rules you add, the more carefully you need to maintain their priority. If rule scopes overlap, place the more specific rule first.
