Use report rules and statistics
Understand report submission, carbon copy, comment, filtering and statistical rules.
Submit rules
| Rules | Description |
|---|---|
| Submission start time | The current cycle report cannot be submitted before the start time |
| Deadline | Reports submitted before the deadline will be counted as submitted on time |
| Reminder time | The system will remind applicable personnel through Chats before the deadline |
| Support for re-submission | Once enabled, submission can still be made after the deadline, and the status will be displayed as re-submission |
For reports with a daily reporting period, the deadline can be set on the next day, but the span from start to end must be 24 hours.
Cc and receipt
- Cc Scope determines who can view reports in Feeds and other entry points.
- Administrator can set minimum Cc Scope. Employees cannot delete the range and can only continue to add people.
- The acknowledgment range is used to request the specified person to confirm the report.
After the organization enables the corresponding phased-release feature, you can hide the receipt field in the layout; the ability to hide the Cc Scope will affect both the object-based Report and Sales Record. You should confirm the usage of the two modules before adjusting.
Comment rules
- When submitting a Report, select a reviewer if required by your organization.
- Reviewers can comment in Feeds or Work > Workspace > Report.
- Each batch of reviews can process up to 400 reports.
- If the organization does not allow Reviewer to process reports in batches, you can apply for the corresponding phased-release feature to disable batch reviews.
- After commenting on the report, the score cannot be modified.
- The creator of the post will receive a comment reminder in Chats.
The default score is 3 points, and the meaning of the score is: 1 point is seriously criticized, 2 points are unqualified, 3 points meet the requirements, 4 points exceed expectations, and 5 points are very satisfactory. When Reviewer enters custom review text, the actual input content shall prevail.
The Multiple comments or no-reviewer options require the corresponding phased-release features. Once enabled, you can select up to 10 reviewers.
After turning on Multiple comments, one report generates multiple review records. The object list cannot directly display or export the review status and content, and BI reports cannot analyze review status, reviewer, score, content, or time.
Search and filter
The “time” field of the report is saved as text:
| Period | Example Value |
|---|---|
| Daily Plan | 20240401 |
| Weekly Plan | Use the Thursday date of the current week, for example 20240404 |
| Monthly Plan | 202404 |
When filtering by time period, use date fields such as Report Start Date and do not use the text type “Time” field.
Export and statistics
- In the report object list, you can select fields and generate an Excel table.
- After the organization activates the corresponding feature, administrators can use Excel printing templates to export.
- CRM administrators can create charts based on report objects in BI reports.
- Report Admins can use Report Statistics to export predefined results for object-based reports.
To export report details, export directly from the Report object list. To analyze Reports Due, Reports Submitted on Time, Late Reports, or Total Reports Submitted, first enable Include in Statistics in the corresponding Report template, and then use a BI report or Report Statistics.
Reports Due is generated from the record type and submission rules for which statistics are enabled. It is used to calculate due, submitted, late, and not-submitted counts. Report Statistics includes active employees only. To analyze historical reports from deactivated employees, use Report object-list data permissions or create a BI report based on the Report object.
When using Report Statistics:
- Go to Setup > Work Circle > Report Management > Report Statistics.
- Select the report type, person range, and date range.
- Click Query to view the statistical results, or click Generate Report to output the report.
