Configure department data permissions


Set internal data visibility for objects by department or organization.

Overview

💡 Configure department data permissions to control whether department members can view data in their department and child departments. This lets you define detailed sharing models within administrative boundaries.

Before you begin

[!IMPORTANT] - Role permissions: You need System Administrator permissions or a management role with Data Permission Management permissions. - Prerequisite: The department organization tree is complete.

Procedure

  1. Go to CRM Platform Management > Data Permission.
  2. Open the Dept Data Permission tab.
  3. Select a department, such as Sales Department 1.
  4. Locate an object and select one control type:
    • View current department data, excluding child departments: Users can view data only when its assigned department matches their primary department.
      • Example: Department A employees can view account data assigned to A. This rule does not affect A’s child departments.
    • View current department data, including child departments: Users can view data assigned to their primary department. Child departments follow the same rule.
      • Example: Department A employees can view data assigned to A. Department B employees can view data assigned to B.
    • View current and child department data: Users can view all records assigned to their department and child departments.
      • Example: A is the Sales Department, and B is its child department. Members of A can view accounts assigned to A and B. Members of B can view only accounts assigned to B.
    • Mutual visibility for current and child departments: Members of the department and all child departments can view each other’s data.
      • Example: Members of A and B can view all accounts assigned to A and B without hierarchy restrictions.
  5. Multi-organization support: When multi-organization management is enabled, switch to Organization Data Permission and configure the same visibility relationships by organization.
  6. Click Save.

Verify the result

  1. Set Sales Department 2 to View current department data, excluding child departments. Set Sales Department 2 A Group as its child department.
  2. Sign in with a Sales Department 2 employee account and search for an account assigned to Sales Department 2 A Group.
  3. Expected result: The system returns no record because child department data is not visible.
