Online documents


Configure and use the online document plugin to enable real-time collaborative editing and sharing of business documents within the CRM system.

Overview

The online document plugin seamlessly embeds third-party online document services (such as WPS Personal, WPS Enterprise, and Feishu Enterprise) into ShareCRM’s attachment fields. Sales teams, implementation consultants, and project managers can view, share, and edit related documents within the business context, ensuring multi-party collaboration and real-time data synchronization.

Before you begin

[!IMPORTANT] - Gray-scale requirement: Contact your customer success manager to enable the Attachment field online document support gray-scale feature. - Supported document sources: Currently supports WPS Personal, WPS Enterprise, and Feishu Enterprise.

Steps

Step 1: Configure the connector in Setup

Administrators must first enable and configure the corresponding online document connector.
  1. In Setup, go to Business Plugin Management > Online Documents.
  2. Understand the document categories and status attributes:
    • Document categories: Enterprise, Personal, Preset, and Custom types.
    • Preset document connectors: On the connector card, click Enable, Disable, Unbind, or Delete.
    • Custom document connectors:
      1. Click Create, edit the document information (upload an icon, enter a name, and select a PWC component).
      2. Select the corresponding custom function (you can create a new function or select an existing one from the popup).
      3. Confirm to complete the connector creation, then follow the wizard to complete enterprise account binding and authorization.
[!NOTE] - Deletion rules: Enterprise documents cannot be deleted when in “Enabled and Bound” status. Deletion is supported when in “Unbound” or “Disabled” status. Personal documents do not have bind/unbind concepts and only support enable/disable and delete.

Step 2: Configure attachment fields to support online documents

Administrators need to configure object field properties to allow users to upload attachments via online documents.
  1. In Setup, go to Objects > Field Configuration (select the object to configure).
  2. Edit or create an Attachment type field. In the Upload Method option, check Online Document (options include: local upload, cloud drive files, online documents).
  3. Save the field configuration.

Step 3: Front-end usage and personal account binding

Front-end users can associate existing online documents with attachment fields when working with business records.
  1. Go to the create or edit page of the corresponding object. In the attachment field’s add menu, select the corresponding online document name.
  2. Account login and binding:
    • First-time use: The system prompts you to log in to your online document account for binding authorization.
    • Personal binding management: Users can go to Personal Settings > Connected Accounts to view active document connectors and unbind at any time.
  3. Select the target document on the third-party platform to complete the association.

Expected results and verification

  • After successful association, the attachment field on the object detail page displays the document name as a blue text link.
  • Users with view permission can click the blue link to open and render the online document in a new browser window, supporting real-time collaboration and editing.

Important notes

  • Export limitation: On the front-end object list page, when clicking Export Images/Attachments/Signatures in the upper-right corner, online document files are not supported for batch export.
  • Interface display: On the object detail page, online document files do not display file size and do not provide a direct download button.
