To-do center backend configuration overview


Configure To-Do Center columns, Group settings, task Source, and Enable Status.

Overview

To-Do Center configuration centrally manages the columns and groups that users see in the To-Do Center. You can Configure columns under entries such as My to-dos, My Processed items, Initiated by me, Cc to me, and My Delegation. These settings control where different task types appear, and define their Name, icon, and data Source.
The To-Do Center can contain Approval flows, business flows, Stage tasks, collaborative Object to-dos, and other tasks. With clear column configuration, users can quickly Location Pending items by Business Scenario, such as Work Order Approval, Work Order assignment, Work Order follow-up, and Work Order handling.

Core business content

To-Do Center backend configuration mainly includes these capabilities:
  • Support Group management: Organize groups in the left column tree by Business Scenario, such as My to-dos, My Processed items, Initiated by me, Cc to me, and My Delegation.
  • Support New columns: Create a To-Do column under a Group to carry a specific Type of business task.
  • Support editing column Name and icon: The column Name appears on the user side. The icon helps distinguish columns in the To-Do Center.
  • Support synchronized display in other groups: Configure whether to show the column Name under My Processed items or Initiated by me, so users can query the same task Type from different views.
  • Support Task Type selection: A column can carry data by Task Type, such as Approval flow, business flow, or another task Type.
  • Support data Source selection: Set the data Source for the column, such as Work Order or a task Source.
  • Support conditional filtering of column data: Filter to-do data by Field conditions such as Application Node Type and Record Type, so the column shows only tasks that match the business definition.
  • Support column Description: Enter a purpose Description to help future administrator maintenance.
  • Support Save and Enable: After column configuration is complete, Save and Enable it before users can see the column.

Before you begin

  • You have To-Do Center configuration permission.
  • You have confirmed the To-Do columns and groups to display.
  • You have confirmed each column’s Task Type, data Source, and Filter conditions.
  • You have confirmed whether real To-Do data already exists for the column.

Enter To-Do Center configuration

  1. Open Setup > To-Do Center configuration.
  2. View existing groups and columns on the left.
  3. Click the target column and View column details on the right.
  4. To adjust a column, Click the Edit entry or modify the configuration directly.
  5. After configuration is complete, Click Save and Enable.
Column details usually display:
Configuration item Description
Column Name The current display Name in the To-Do Center
Group The Group where the column is located, such as My to-dos
Task Type The Task Type carried by the column, such as business flow
Description Column Description
Data Source The data Source for the column, such as Work Order
To-Do Center configuration entry

Create a column

  1. On the To-Do Center configuration page, Click New column, or select an existing column to Edit.
  2. Enter Column Name.
  3. To adjust the display icon, Click Change icon.
  4. Configure these options as needed:
    • Whether to show it under My Processed items.
    • Whether to show it under Initiated by me.
  5. Select Task Type, such as business flow.
  6. Select Data Source, such as Work Order.
  7. Set Filter conditions for column data.
  8. Enter Description.
  9. Click Confirm.
  10. After you return to the configuration page, Click Save and Enable.
[!NOTE] After you create a To-Do column, qualified To-Do data must be generated before users can see the column or its data in CRM To-Do.
Create a To-Do Center column

Configure column Filter conditions

Column Filter conditions control which tasks enter the column. When you Configure conditions, combine Field, operator, and value.
In the screenshot example, the Work Order Approval column uses this configuration:
  • Task Type: Business flow.
  • Data Source: Work Order.
  • Filter condition: Application Node Type Belongs To Approval Node.
When configuring Filter conditions, available Field Type options usually Include:
Field Type Description
Application Node Type Filter tasks by Process Node Type, such as Approval Node, assignment Node for a Service request Object, service consumption confirmation, Downstream SOP, Terminal user task, sign-off, return shipment, Account sign-off, and others
Record Type Filter tasks by Record Type. This suits cases where different business flows or business objects share the same data Source
Configuration suggestions:
  • Each column should carry one clear task Type, so users do not see too many unrelated to-dos in one column.
  • Conditions should use stable fields, such as Application Node Type and Record Type.
  • After adjusting conditions, use a test account to validate whether column data is accurate.

Enable and validate

  1. After you Configure or adjust a column, Click Save and Enable.
  2. Use an ordinary user account to enter the To-Do Center.
  3. Check whether the column appears under the correct Group.
  4. Check whether the column Name, icon, and task data meet expectations.
  5. Create or advance a test task that meets the conditions, and verify that it enters the target column.
  6. After adjusting Filter conditions, validate the display Effect for old and new data again.

Configuration suggestions

  • Organize groups by record type, such as Process business, collaborative business, and marketing, sales, or Service business.
  • Column names should match users’ daily terms, such as Work Order Approval, Work Order assignment, Work Order follow-up, and Work Order handling.
  • Before Enable, confirm that the column has real To-Do data or can generate test To-Do data.
  • For similar columns, distinguish them with Filter conditions first to avoid overlapping meanings.
  • After adjusting a column, use an ordinary user account to validate the display Effect.
