Configure collab nodes


Let collaboration assignees complete tasks before the process continues.

Overview

A Collab Node inserts a collaboration task into an Approval Process. After the collaboration assignee completes the task, the process continues to the next node.

Before you begin

  • The Approval Process is created.
  • You have identified the collaboration task content.
  • You have identified the collaboration assignee.

Configure Node Settings

In Node Settings, configure the node name and node description. The node name appears on the process canvas, in the to-do list, and on the task details page. Use a clear business name, such as Task collaboration.

Configure assignees

Collab Node assignee configuration is the same as Approval Node assignee configuration. It supports:
  • Select users, roles, or variables.
  • Based on APL code.
  • Based on configuration table.
  • Default assignee.
When the assignee is empty, configure Default Assignee to prevent task generation failure.
Approval Process Collab Node

Configure node content

Collab Node content supports No Content, Custom Form, and Process Layout.
  1. In node content, select No Content, Custom Form, or Process Layout.
  2. Configure fields as required or read-only.
  3. Select Allow editing of configured node content.
  4. Click Save.
If you do not select Allow editing, assignees can only view the configured content.
A Process Layout can be copied from an existing layout or created from the object details page layout. It is used only for the process node and does not replace the object details page layout.

Configure buttons and reminders

Collab Nodes support:
  • Button sorting.
  • Custom button names.
  • Node residence duration.
  • Expiration Strategy.
  • To-do reminders.
  • CRM reminders.
Among displayed buttons, the first three appear directly, and the other buttons move under More. Common buttons include Complete, Change Handler, Recall Approval, Retrieve, and Read.

Configure node residence duration and reminders

You can set node residence duration, Expiration Strategy, and more reminders for a Collab Node. Node residence duration determines how long the task stays before it times out. More reminders set whether to remind assignees.

Configure Post-node Actions

Post-node Actions for Collab Nodes support Field Change, CRM Reminder, Email Notifications, SMS Notification, External Notification, Execute APL Code, Variable Assignment, Change Team Members, and more.

Expected result and verification

  1. Use a test record to trigger the process.
  2. Check whether the collaboration task is generated.
  3. Use the collaboration assignee account to complete the task.
  4. Check whether the process enters the next node.
