Handle process tasks in the To-Do Center.

Overview

The To-Do Center consolidates process work, collaboration work, and marketing, sales, and service work. You can filter to-dos, approve tasks in batches, change handlers, and view approval efficiency statistics.

Before you begin

  • You are signed in to the system.
  • You have pending tasks to process.
  • You have access to the target records.

View to-dos

  1. Go to CRM and open To-Do Center.
  2. In My To-Dos on the left, select an object or business category, such as All, Account, Opportunity, Sales Contract, Quote, or Account Work Order.
  3. In the top tabs, select a task type, such as Approval Process, Stage Task, Business Process, task processing, lead assignment, collaborative approval, log comments, order shipping, e-signature, or work order assignment.
  4. In the to-do list, view the Task Subject, Process Subject, owning business object, related data, Initiator, Task Status, and other information.
  5. Click the Task Subject or related data to open the target task or business object details.
The to-do list shows read and unread states. The numbers in the left categories and top tabs indicate the number of to-dos in each category. Use them to quickly assess your workload.

Use filters

The To-Do Center supports quick filters and advanced sorting to help you find tasks.
Common filter options include:
  • Filter by task type: Switch among Approval Process, Stage Task, Business Process, and other task types from the top tabs.
  • Filter by object or category: Select object categories such as Account, Opportunity, Sales Contract, or Work Order on the left.
  • Filter by status: Filter by pending, completed, read, unread, and other states.
  • Filter by business field: Filter by fields such as Task Start Time, Amount, owning business object, and related data.
  • Filter by Record Type: Filter by all record types or a custom Record Type.
  • Use advanced sorting: Sort by fields such as Task Start Time to handle urgent or earlier tasks first.
After filtering, click Clear External Filter Values to restore the default query conditions.
To-Do Center process to-do filters

Approve in batches

Batch approval lets you process multiple Approval Process to-dos at one time. Use it for tasks with the same rules and approval comments.
  1. In the to-do list, select multiple pending approval tasks.
  2. Click Batch Approval.
  3. Select an action, such as Approve or Reject.
  4. In the dialog, enter approval comments. You can enter up to 2,000 characters.
  5. To use standard wording, expand Common Comments and select an existing comment.
  6. Click Confirm.
[!WARNING] Batch approval processes multiple tasks at the same time. Confirm the selected scope before you submit. If the Approval Node uses a custom form or process layout, batch processing might not be supported.

Change handlers in batches

Batch Change Handler transfers one or more to-do tasks to a new handler. Use it when the original handler cannot continue, tasks need centralized reassignment, or an administrator needs to adjust task ownership.
  1. In the to-do list, select one or more tasks.
  2. Click Change Handler.
  3. In Change To, select the new handler.
  4. Enter a Change Reason. You can enter up to 2,000 characters.
  5. Click Confirm.
When you change handlers, note the following points:
  • The new handler must have access and processing permissions for the target business object.
  • Change Handler affects only the Current Handler for the selected to-do tasks. It usually does not change the business object Owner.
  • After the batch change, tasks move to the new handler’s to-do list.
  • To adjust future handlers in the process definition, ask an administrator to update process handover or process configuration.

Switch the to-do display format

The To-Do Center supports different display formats for viewing and processing tasks. Use the view switcher in the upper-right corner to switch among list, card, and feed views.
Display format Description Use case
List Shows to-dos in a table. You can scroll horizontally to view more fields, such as Task Subject, Process Subject, owning business object, related data, and Initiator. Suitable for batch viewing, filtering, sorting, and batch to-do processing.
Card Shows each to-do as a card. Each card shows a task summary, key fields, and processing buttons. Suitable for reviewing and processing approval tasks one at a time.
Feed Shows details for one task in a feed-style page, including approval content, summary information, details, and processing entry points. Suitable for reading the complete approval content before processing.

List view

List view is suitable for handling many to-dos in one place. You can:
  • View Task Subject, Process Subject, owning business object, related data, Initiator, and Task Status.
  • Select multiple tasks and run batch approval or batch Change Handler.
  • Use filters, advanced sorting, and list field settings to find tasks quickly.
  • Click the Task Subject or related data to open the details page.

Card view

Card view displays each to-do as an independent card. A card usually shows:
  • The process title and pending approval state.
  • Initiator, start time, and key business fields.
  • Approval-related object fields, such as Account Name, Account Level, and Record Type.
  • Processing buttons for one task, such as Approve, Reject, and Approve.
Card view helps you assess and process a single task without opening the details page.

Feed view

Feed view expands the detailed processing page for the current to-do. You can view:
  • Initiator, Task Start Time, the process that owns the task, and task-related data.
  • Approval content, summary information, details, and detail data.
  • Current approval status and processing buttons.
  • Editable content entry points, such as the Edit button in approval content.
Feed view is suitable when you need to read complete business content and verify fields before approving.

Set to-do list fields

To-do list fields determine what information appears in list view, Web Portal card view, and Mobile Client to-do cards. Administrators usually maintain field configuration in object layouts or to-do list and detail page configuration. You can also adjust your personal display from list settings on the frontend.

Configure list page fields

List page fields control which columns appear in table view, how column widths appear, and the default sorting rules.
  • Configuration page: Go to Object > Layout > To-Do List/Detail Page. Select Pending Approval Process, Pending Business Process, or Pending Stage Task. You can configure the list page layout and Mobile Client summary layout.
You can configure the following items:
  • Display fields: Select fields shown in the to-do list, such as owning business object, related data, Task Status, Task Type, Approval Submitter, Task Start Time, Last Updated On, allow editing data during approval, rejection reason, and exception reason.
  • Field sorting: Drag fields to adjust the Display Order and place common fields first.
  • Column width settings: Set a default width for each field, such as 140 px, so long fields do not affect list readability.
  • Text Wrapping: Configure whether fields wrap automatically. Use this for long text, such as rejection reason and exception reason.
  • Delete fields: Remove fields that do not need to appear.
  • Sorting settings: Configure up to three default sorting fields and sort directions, such as descending by process or Task Start Time.
  • Quick filters: Configure whether to enable quick filters at the top of the list.

Configure Mobile Client and Web Portal card fields

Mobile Client to-do card fields and Web Portal card fields control summary information in card view. The configuration page usually shows a card preview on the left and Component Settings on the right.
In component settings, you can configure:
  • All fields: Available field sources, including object fields and process fields.
  • Display fields: Fields currently shown on the card, such as Process Subject, Account Name, Initiator, Unified Social Credit Identifier, Account Level, Account Type, and Account Source.
  • Field count limit: The right side shows the number of selected fields, such as 11/15.
  • Field search: Search Field Name values in all fields or display fields.
  • Field movement: Use the left and right move buttons to add fields to, or remove fields from, the display field list.
When you set to-do list fields, keep the following information first:
Field Purpose
Task Subject Quickly identify the to-do item.
Process Subject Identify the process that owns the to-do.
Owning business object Identify the object type related to the task.
Related data Quickly open the specific business record.
Task Status Check whether the task is in progress, processed, or abnormal.
Task Type Identify single-person approval, Multi-Person Approval, or another processing method.
Initiator / Approval Submitter Identify the source of the to-do.
Task Start Time Determine when the task was generated and set processing priority.
Configuration recommendations:
  • List view fields are suitable for showing process and task-processing information, which helps with batch filtering and sorting.
  • Card view fields are suitable for business summaries. Do not add too many fields. Keep only key information that helps task judgment.
  • Mobile Client cards have limited space. Show high-frequency fields first, such as Task Subject, related data, Account Name, and Initiator.
  • If settings become abnormal, reset the default column width or Reset to Default system fields. After you adjust fields, open the to-do list again to verify the display.

Handle collaboration business to-dos

Collaboration business to-dos let you process collaboration work in one place, such as log comments, collaborative approvals, task execution, Receipts, and instruction handling.
Common collaboration business to-dos include:
  • Log comments: View daily reports, weekly reports, or Work Summary content submitted by others. You can comment, reply, like, forward, or copy content as needed.
  • Collaborative approval: Process approvals in Feeds or collaboration scenarios.
  • Collaborative tasks: View tasks to execute, complete tasks as required, or provide execution feedback.
  • Receipts: Confirm notifications, instructions, or collaboration items that require acknowledgment.
When you handle log comment to-dos, you can usually:
  1. Select Logs or a related collaboration category on the left.
  2. View the log Initiator, source, date, Re-submit? status, Work Summary, next plan, and lessons learned.
  3. Click View More to expand the full content.
  4. Click Comment, Reply, Like, or Forward as needed.
  5. After processing, the to-do status updates automatically.
When you process collaboration business to-dos, verify the Initiator, business source, and task requirements before you submit comments, replies, or Processing Result values. For multi-person collaboration, use replies or forwarding to remind related personnel.

Handle marketing, sales, and service to-dos

Marketing, sales, and service to-dos centralize tasks related to marketing, sales, and service. The left categories can show tasks by object or record type, such as Account, Opportunity, Sales Contract, Quote, Account Work Order, Sales Lead, order shipping, e-signature, and work order assignment.
Common marketing, sales, and service to-dos include:
  • Lead assignment: Assign overdue or pending Sales Lead records to owners.
  • Account processing: Process account reviews, account data completion, Account Address tasks, or account work order to-dos.
  • Opportunity processing: View Opportunity Stage tasks, opportunities in approval, or Opportunity follow-up items.
  • Sales Contract and Quote: Process contract approval, quote approval, order shipping, and other sales process tasks.
  • Work order processing: Process work order approval, assignment, handling, and follow-up visits.
  • E-signature: View signing tasks and follow up on signing number, File to sign, signing method, Signer, and signing status.
When you process marketing, sales, and service to-dos, you can usually:
  1. Select the corresponding object or business category on the left.
  2. Use filters or search to find a to-do quickly.
  3. View list fields such as Account Name, company, Department, mobile, phone, email, address, signing number, File to sign, and signing status.
  4. Select multiple records and run assignment, approval, or another Batch Operation.
  5. Click Task Subject, Account Name, signing number, or related data to open the details page and process the item.
