Multi-level ordering architecture

System deployment

This solution is 1&N single-tenant deployment. Downstream dealers, resellers, and stores do not need a CRM tenant. They access Partner Portals only.

Business architecture

The brand owner works in the 1-tenant CRM. Dealers, resellers, and stores work in Partner Portals.

Business Process

ShareOrder presets two External Apps: ShareOrder and Channel Distribution. Direct and indirect channels order in ShareOrder. Channel distribution runs in Channel Distribution.
Plugin-based in-process trading changes
After multi-level ordering is enabled, both direct accounts and channel accounts create trading relationships. When an order selects an account, it can only select an Associated Account of the current organization. Shipment, Payment, invoicing, contract, quote, and Related Documents work the same way.
Inventory, inbound, and outbound objects add a Channel Type Record Type and Details Page Layout. Channel data has an independent menu.
Channel trading relationships
There are two types: Organization direct supply and Channel supply. One account can have multiple trading relationships.
After a channel merchant account is enabled and a channel account is created, the system creates a Channel supply relationship. It is enabled by default.
When an account has multiple suppliers, you can create a channel trading relationship manually. Relationships can be deleted and restored. When the brand owner creates a relationship, the system fills the channel merchant Partner.
Merchant Business Scope
Brand owners can set a Business Scope for each dealer and authorize the Product Scope they can sell to lower-level channels.
NOTE: After control is on, dealers can maintain the sellable catalog and pricing for lower-level channels within the authorized range. Only products in the Business Scope can be sold to a Subordinate Account.
After you configure Business Scope, enable control and preset the channel merchant saleable scope and Price Book. The system automatically sends a CRM notification.

Inventory Management

Channel inventory includes eight objects: warehouse, inbound order, outbound order, inventory, transfer, Inventory Count, and Inbound/Outbound Details.
Channel merchants order from the brand owner and distribute downstream, so inventory has sell-in and sell-out:
  • Sell-in: after ordering from the brand owner or Parent Channel in ShareOrder and Confirm Receipt, the system creates a channel inbound order and updates channel inventory.
  • Sell-out: after the merchant ships a channel order, the system creates a channel outbound order and updates channel inventory.
Inventory
Channel inventory is updated from channel inbound and outbound orders. Channel partners can create a channel inbound order manually, or increase inventory by confirming a purchase order.
Inbound orders
Inbound orders can be created manually or automatically.
Automatic creation happens after the channel merchant receives shipment/outbound from the Parent Channel or brand owner.
  1. First-level dealer Purchase Inbound: after the manufacturer ships, Confirm Receipt automatically creates a channel inbound order (Shipment Order -> inbound). Prerequisites: - The Shipment Order account must be a channel merchant with a Partner profile - The merchant has a default Inbound Warehouse in Channel inbound warehouse setting - External Organizations must link both account and Partner fields
  2. Second-level and lower Purchase Inbound: after the Parent Channel ships and issues outbound, the mapping is outbound -> inbound. Prerequisites: - The outbound header Related Documents field stores the Shipment Order ID - The same three conditions as above (Shipment Order account, inbound warehouse setting, External Organizations linking account and Partner)
Purchase Inbound
Outbound orders
After placing an order on behalf of a customer or shipping an online order, channel inventory decreases.
Other objects
Inbound/Outbound Details, Inventory Count, and transfer follow standard inventory and are not repeated here.

One-Click Transfer

Transfer flow

  1. Frozen Inventory: the downstream channel order uses Allocated Inventory. After transfer, the channel partner does virtual inbound and virtual shipment.
  2. No freeze: the downstream order does not use Allocated Inventory. After transfer, only virtual shipment is needed.
Two closed loops: upstream purchase (manufacturer/Parent Channel ships, channel partner Confirm Receipt, inventory increases) and original-order sales (channel partner ships, ordering customer Confirm Receipt, inventory decreases).

Transfer settings

In Setup guide > Business Plugins, turn on One-Click Transfer. After success, the system automatically sends a CRM notification. Admins can set field mapping.

Transfer with Frozen Inventory

End customer C places an order with dealer B (Sales Order 1). B transfers to brand owner A (Sales Order 2). A ships. B does virtual inbound. B ships Sales Order 1. C and B run Confirm Receipt.
End customer C places an order with dealer B
C can use mall mode or create an order directly.
Dealer B transfers the Sales Order to brand owner A in Channel Distribution
  1. When stock is insufficient, transfer the order upstream.
A new tab opens ShareOrder create-order and re-prices based on the current account Account Name.
Notes:
  • Gift lines for the same product are merged.
  • Lines with different units are not merged.
  1. After submit, the transferred order account is dealer B, and the ship-to party is end customer C.
End customer C can see the transferred order number on the source order.
After brand owner A receives the transferred Sales Order, Create Shipment Order and ship to dealer B
The brand owner approves the order and arranges shipment.
The Shipment Order account and ship-to party match the order.
Dealer B does virtual inbound and updates channel inventory
The system generates channel inventory for the account on the Shipment Order.
Virtual inbound creates a Channel Type inbound order. Delivery-note details such as product, quantity, and lot are filled and not editable.
After channel inventory is updated, ship the original Sales Order
  1. In the dialog after virtual inbound, select Go to virtual shipment
  2. Create a Shipment Order from ShareOrder order details or the Shipment Order list.
Related Teams on External Organizations let Channel Users view warehouse and account data.

Usage boundary

  • Applicable scope: ShareOrder Group Edition.
  • Edition check: Confirm the tenant edition and enabled capabilities first.
  • Permission: Entries are controlled by role and Data Permission.
