Operations and System Settings
- Product usage conditions: Management Backend → Application List > Knowledge Base; configure purchase, member scope, AI compute units.
- Operations: duplicate verification, AI Q&A records, feedback tuning.
- System settings: backend roles and entry permissions; retain only needed 1.0 config.
Overview
After knowledge is created and published, ongoing operations keep the knowledge base healthy: reviewing content, removing duplicates, collecting feedback and tracking usage. This article also covers the system settings that define the operating boundary of the knowledge base.
Run knowledge operations
Content review
- Configure review before publishing so every item is checked for accuracy and compliance.
- Review tasks are handled in the task center; approved items go live, rejected items return to draft.
Duplicate knowledge check
- The knowledge base detects duplicate or similar Q&A pairs and documents.
- Review duplicate candidates and merge or retire redundant items to keep answers consistent.
Feedback collection
- End users can rate AI answers (thumbs up / down) and leave comments.
- Maintainers should review negative feedback periodically and fix the corresponding knowledge.
Usage statistics and dashboard
- View statistics on search volume, AI answer volume and feedback.
- Use the data dashboard to identify knowledge gaps, hot topics and items with poor feedback, then prioritize updates.
Recommended operating loop
- Monitor feedback and statistics weekly.
- Fix items with repeated negative feedback.
- Check duplicate candidates and merge.
- Add or update knowledge for uncovered questions.
- Re-run the review and publish cycle.
Configure system settings
Basic settings
| Setting | Description |
|---|---|
| Default space | The space used when creating knowledge without an explicit target. |
| Review policy | Whether publishing requires review and which roles are reviewers. |
| Validity defaults | Default validity period applied to new knowledge. |
| AI scope | Which spaces and folders AI answers are allowed to reference. |
Configure steps
- Open the system settings of the knowledge base.
- Adjust the basic settings according to your operation model.
- Configure homepage operation components (for example, latest knowledge, hot topics, leaderboards).
- Save and verify from a member account.
Configure product usage conditions
- Define the product combinations required for the knowledge base, for example which modules must be enabled (knowledge base, AI assistant, etc.).
- Administrators should check that the required modules and permissions are in place before rollout:
- Knowledge base module enabled for the enterprise.
- Knowledge maintainer and administrator roles assigned.
- AI assistant / Agent enabled if AI Q&A is used.
| Mode | Description |
|---|---|
| Knowledge only | Members browse and search knowledge without AI answers. |
| With AI Q&A | AI answers reference published knowledge within the permission scope. |
| With Agent assistant | The knowledge assistant Agent answers questions from the homepage or other entry points. |
Expected results
- Content is reviewed, duplicates are handled and feedback is acted on regularly.
- System settings match the operation model and take effect as expected.
