Manage Folders and Knowledge Categories

Organize knowledge content with directories and categories.

Overview

Knowledge Base 2.0 uses “knowledge space - folder - knowledge entry” as its main storage structure, while keeping the existing multi-level knowledge category capability. Folders determine where knowledge is actually stored and its resource permissions. Knowledge categories are used for business classification and visibility-scope management across spaces or directories.

Before You Start

❗
  • Role permissions: Users with Edit permission can create folders; users with Manage permission can adjust permissions, rename, or delete folders.
  • Version requirement: Use the current Knowledge Base 2.0 interface.
  • Prerequisite: The target space already exists; knowledge categories are managed by an independent visibility scope.

Managing Folders

Creating a Folder

  1. Enter the target space or folder.
  2. Click New Folder.
New Folder option in the New menu
  1. Enter the folder name and confirm the creation location.

  1. Users with Edit permission create the folder with the system default permission. Users with Manage permission can adjust the default permission during creation.

  1. After creation, the folder tree and the current directory list refresh automatically.
When a first-level folder is created, it copies the current permissions of the knowledge space; when a subfolder is created, it copies the current permissions of the parent folder. After creation, permissions are stored independently, and later changes to the parent do not automatically affect the already-created subfolders.

Renaming and Deleting

  • Users with Manage permission can rename or delete folders.

  • Before deletion, confirm how the knowledge and subfolders in the folder will be handled.
  • A folder supports up to 10 levels. Beyond this limit, deeper directories cannot be created or uploaded.

Managing Knowledge Categories

  1. Enter the knowledge category management entry in the knowledge base.
  2. Create or maintain the multi-level category system.
  3. Set the visibility scope for categories. Only users within the visible scope can view the data under the category.
  4. When creating or editing knowledge, select the category according to business needs.
