Spaces and Directories Overview

Spaces are enterprise or personal; folders and categories live inside; permissions (view/download/edit/manage) are set on spaces/folders and flow to lists, search, and AI.

Overview

A knowledge space is the container that organizes knowledge resources in the knowledge base. Knowledge is grouped under spaces, folders and categories, and each space maintains its own permission scope. This article explains the core concepts and how spaces, directories and permissions work together in Knowledge Base 2.0.

Core concepts

Concept Description
Knowledge space A top-level container for a set of knowledge resources. Each space can cover knowledge from multiple sources and categories, and spaces are independent of each other.
Folder / category The directory structure inside a space that organizes knowledge by business topic. Folders can be nested and each folder has its own permission settings.
Resource permission Controls who can view, edit, manage or publish knowledge in a space or folder. In Knowledge Base 2.0, resource permissions are the single source of truth for visibility.
Default knowledge space A system-provided space that is visible to all members by default, used for company-wide knowledge.
Personal knowledge space A private space owned by each user for personal knowledge.

  • One knowledge resource can be associated with one or more spaces through category selection; spaces reference categories and directories rather than duplicating content.
  • When a new knowledge item is added under a category that a space covers, the item automatically becomes available in that space.
  • Each space is independent: permission changes or content updates in one space do not affect others.
  • Visibility is determined at runtime by the space and folder resource permissions; roles set in the backend (1.0) no longer affect visibility in Knowledge Base 2.0.
