Set Resource Permissions

  1. Open the space/folder; click Permissions.
  2. Add members/departments/roles; assign view/download/edit/manage.

Overview

Resource permissions decide who can access and manage a knowledge space or folder. In Knowledge Base 2.0, permission is granted at the space or folder level and takes effect immediately; backend role-based settings from the legacy version no longer apply.

Before you start

  • You must be a knowledge maintainer or a space administrator to configure permissions.
  • Permission changes affect visibility immediately, including search results and AI answers.

Set permissions for a space or folder

  1. Open the knowledge base homepage and enter the target space.
  2. Locate the space or folder you want to configure and open its permission settings.
  3. Choose one of the permission levels described below.
  4. Save the change. The new scope applies to all members immediately.
Add members/departments/roles; assign view/download/edit/manage ## Permission levels
Level What members can do
Visible to all Everyone in the enterprise can view the space or folder and its content.
Visible to specified members Only the selected members, roles or departments can view the content.
Editable by specified members The selected members can create and edit knowledge in the space or folder.
Managed by specified members The selected members can manage the space or folder, including permissions and lifecycle operations.
Hidden The space or folder is hidden from all members except administrators.

Folder-level rules

  • A folder inherits the permission of its parent space by default.
  • You can grant a folder an independent permission scope that overrides the parent setting, which is useful for sensitive topics.
  • Members who can access the parent space but not the folder cannot see or search the folder content.

Visibility rules for external users

  • External visibility is controlled separately from internal visibility.
  • By default external users cannot see internal knowledge; enabling external visibility exposes the space or folder to the specified external scope only.

Verification

  • After changing permissions, verify from a different member account that the space or folder is visible or hidden as expected, and that search and AI answers respect the new scope.
