Budget finance quick start

Complete the shortest closed loop for budget creation: create an expense budget sheet, then run one Budget Breakdown or adjustment.

1. Learning goals and final result

After you complete this tutorial, you can:
  • Open the Budget Management app and open expense budget sheets
  • Create one expense budget sheet from an existing budget type
  • Complete one Budget Breakdown, or submit one Budget Adjustment Form
  • Reconcile the result in the list or details

2. Before you start

  • You have the Expense Budget Sheet object permission. If you also need to break down or adjust, you also have the Budget Breakdown or Budget Adjustment Form object permission.
  • Budget subjects and budget types are already maintained.
  • Prepare at least one budget period and department or operating unit that you can use for creation, for example operating unit A in January 2022.

3. Step-by-step instructions

Step 1: Create an expense budget sheet

  1. In the web main navigation, open Budget Management.
  2. Go to Budget Management > Expense Budget Sheets.
  3. Click New.
  4. Complete the sheet by budget type, budget level, budget period, budget dimension, and Budget Department, then save.
After you save, the list shows this expense budget sheet. If the sheet’s control policy is not strict control by planning dimension, the system generates a budget summary table by control period and control dimension.

Step 2: Complete one Budget Breakdown or adjustment

Choose one happy path:
Path A: Break down and issue (parent assigns to child)
  1. Go to Budget Management > Budget Breakdown.
  2. Click New.
  3. Select the budget type, then select the level of the Budget Sheet you need to break down. The system determines the receiving level from the hierarchy and loads the matching layout.
  4. Choose to break down into a new Budget Sheet or an existing Budget Sheet, then save the Budget Breakdown.
The lowest level has no child level, so you cannot use it as the source level.
Path B: Adjust amounts (Budget Supplement, Budget Deduction, or Budget Allocation)
  1. Go to Budget Management > Budget Adjustment Form, or start an adjustment from one Budget Sheet in the expense budget sheet list.
  2. Select the Adjustment Type: Budget Supplement, Budget Deduction, or Budget Allocation.
  3. For Budget Supplement, the available amount on the Budget Sheet increases.
  4. For Budget Deduction, the available amount on the Budget Sheet decreases. The deducted quota can roll up into the available amount of its direct parent Budget Sheet, if the budget type of that sheet allows it.
  5. For Budget Allocation, the available amounts of two budget sheets change. You can only do this between expense budget sheets that share the same parent Budget Sheet.
  6. Save the Budget Adjustment Form.
Enter the Adjustment Amount before you save.

4. Run and verify

  • The expense budget sheet list shows the new record, and you can open the details.
  • If you used Budget Breakdown: the Budget Breakdown list shows a new document, and child Budget Sheet amounts are updated by the breakdown result.
  • If you used adjustment: the Budget Adjustment Form list shows a new document, and expense budget sheet amounts change by Budget Supplement, Budget Deduction, or Budget Allocation.
  • To trace usage, open Budget Management > Income and Expense Entries.
