Break down lower-level budgets

Assign Parent Department budget amounts down the hierarchy so lower departments can consume them.

Overview

When you create organization budgets, child department budgets come from the parent department. The parent department uses Budget Breakdown of available amounts to assign budget to child departments. The standard product supports breaking budget down into a new Budget Sheet or an existing Budget Sheet.

Before you start

  • Object permission: You need the Budget Breakdown object permission.
  • Completion Conditions: The parent expense budget sheet is already created. The budget type already has parent-child level relationships.
  • Entry: Budget Management app → Budget Management > Budget Breakdown.
  • Limit: The lowest-level node has no child level, so you cannot use it as the source level.

Operation steps

View the Budget Breakdown list

  1. In the web main navigation, open Budget Management.
  2. Go to Budget Management > Budget Breakdown.
  3. Review existing Budget Breakdown documents in the list.

Create a Budget Breakdown

  1. In the Budget Breakdown list, click New.
  2. Select the budget type.
  3. Select the level of the Budget Sheet you need to break down. The system determines the receiving level from the hierarchy and loads the receiving-level layout, which affects the fields used when you create a Budget Sheet.
  4. Choose the breakdown destination:
    • New Budget Sheet: Create a new expense budget sheet for the child and write the amount.
    • Existing Budget Sheet: Assign the amount to a child expense budget sheet that already exists.
  5. Save.

After a parent Budget Sheet is broken down and issued successfully, the system generates budget income and expense entries. You cannot edit the document, so run this action carefully.

View breakdown details

  1. Open the target Budget Breakdown in the list.
  2. In the details, verify the source level, receiving level, and amount assignment result.

Expected result

  • The Budget Breakdown list shows a new document.
  • The child new Budget Sheet or existing Budget Sheet receives the breakdown amount.
  • The lowest level does not appear in the selectable source levels.
