Customer fund account overview

Customer fund accounts manage cash, rebate, and expense assets.

Overview

This page describes the objects, process, and boundaries of customer fund accounts.
Customer Fund Account is a paid suite. It works with CRM Professional, Flagship, and Unlimited editions. You can use it alone or with expense management and rebate management. Typical industries include FMCG and agribusiness, consumer electronics, machinery, home furnishings, and internet high-tech.
alt text ## Business value
  • Split assets by purpose so prepaid cash, rebate, and expense funds stay separate.
  • Validate and deduct balances on orders, then post occupancy, posting, and reconciliation to the same transaction logs.
  • Keep credit limits on customer fund accounts so occupancy, repayment, and release appear next to account balances.

Core concepts

Concept Description
Account type A purpose-based category such as cash, rebate, expense, deposit, or points. The system presets one cash account that you cannot disable or delete.
Customer fund account balance The balance, frozen amount, and available amount for an account and currency. Customer fund account is an independent object, not a child of the CRM account. Multiple fund accounts for one CRM account appear as separate rows.
Account transaction log The voucher that increases or decreases a balance. Only logs whose Posting Status is Posted change the balance.
Subaccount A further split by division, subsidiary, or product line.
Credit account The account type used after you enable Credit Management. After a credit grant is posted, the credit balance is frozen or deducted by occupancy rules when documents are submitted.

Account structure

You can create multiple account types by fund purpose, such as prepaid cash, rebate, and expense.

You can also split subaccounts by division, subsidiary, or product line.

  • Rebate account: Pay rebates to distributors by month, quarter, or year. When an order is submitted, the system calculates the usable rebate and can deduct the cash account and rebate account by product category.
  • Expense / cash account: Split expense accounts by product category. Each account is used independently. On submit, the system validates the matching account, freezes the balance, and deducts it after shipment.
  • Credit account: Holds formal credit and temporary credit for occupancy and repayment during ordering.

Basic and advanced capabilities

After you enable Customer Fund Account, the system provides account types, account transaction logs, and customer fund account balances. Balances update from manual logs or from business documents such as payment posting and order deduction.
alt text Advanced capabilities add balance validation and freeze. After you enable them, the system adds customer fund account validation rules, account freeze records, and unfreeze details, and it adds freeze fields on the balance.

Relationship with Credit Management

Credit Management requires a Customer Fund Account license. After you enable credit, the system initializes occupancy rules and customer credit grant objects, and it adds the Credit Control field on the account object. Occupancy takes effect only after the credit grant is active and Credit Control is enabled on the account record.
Posting payments to a customer fund account is covered in payment management. This folder does not repeat that procedure.
