Account lifecycle and account pool routing
Overview
The Account lifecycle describes how an Account enters CRM and moves through ongoing management. It helps teams identify the current owner, status, and next action.
Core concepts
The Account lifecycle includes acquisition, assignment, follow-up, conversion, repeat business, and withdrawal. Account Pools hold Accounts awaiting assignment or renewed engagement, keeping limited sales resources in circulation.
Lifecycle
- Convert a qualified Sales Lead into an Account.
- A sales representative claims or receives an Account Pool Account.
- The sales representative follows up with the Account and advances the deal.
- A Closed Won Opportunity, confirmed Order, or new Contract can update the Deal Status.
- Return an Account with no valid progress, or let an automatic withdrawal rule withdraw it.
- Transfer an Account when its region, size, or business needs change.
Lifecycle management focuses on long-term Account value, not one transaction. A converted Account can generate repeat purchases, additional purchases, and new Opportunities. Your organization can preserve its history while changing ownership and follow-up strategy.
Manual and automatic routing
| Routing action | Initiated by | Typical scenario |
|---|---|---|
| Claim | Account Pool member | Select an Account that is suitable for your own follow-up |
| Assign | Account Pool administrator | Give a key Account to a designated sales representative |
| Return | Account owner or manager | Stop follow-up or return an Account after a Closed Lost deal |
| Withdraw | Account Pool administrator or system rule | Recover an Account after a follow-up or conversion timeout |
| Transfer | Account Pool administrator | Move an Account to a more appropriate Account Pool |
Typical business scenario
After a trade show, convert a qualified Lead into an Account. A sales representative then claims or receives the Account, records follow-up, and advances the deal. If the current representative stops follow-up, return the Account to a pool for renewed engagement.
Conversion does not permanently remove an Account from Account Pool management. You can return a converted Account for repeat business or a new product sales cycle.
Note You can return a converted Account to an Account Pool for repeat purchases or new product sales.
