Maintain contact information


Overview

Create and maintain Contact information for Account Management. Associate Contacts with Accounts and sales activities, and preserve relationship context through Communication Records.

Before you begin

Before you begin - You need permission to view, create, or edit Contacts. - Create the associated Account first, when possible. - Creating a Contact may trigger duplicate check rules configured by your administrator.

Create a Contact

  1. Open the Contact list and click New.
  2. Enter the name, phone number, email address, job title, and other information.
  3. Select an Account in the Associated Account field.
  4. Click Save.
You can also create a Contact from an Account, Opportunity, or Visit details page. The Mobile Client supports Scan Business Card, and Lead conversion can create a Contact. After creating an Account, click Save & Create New Contact to continue.

Handle duplicate check results

  • An exact match may prevent you from creating a duplicate Contact.
  • A fuzzy match displays similar Contacts so that you can review them before continuing.
Duplicate check fields and results depend on your administrator’s configuration.

Associate a Contact with an Account

Create and associate a Contact

  1. Open the Contacts section on the Account details page.
  2. Click New.
  3. Enter the Contact information and click Save.
The system associates the new Contact with the current Account.

Associate an existing Contact

If the page provides an association action, search for an existing Contact in the Contacts section. You can also edit the Associated Account Account Field from Contact details.

Use Contact views

View Data range
Contacts Owned by Me You are the owner
Participated by Me You belong to the Related Teams
Contacts Without an Associated Account You are the owner and the Associated Account field is Empty
Contacts Owned by My Subordinates One of your subordinates is the owner
Shared With Me A data sharing rule grants access to you, your department, or your user group
Visible records depend on your organization’s data permission configuration. Only CRM administrators can usually view voided Contacts.

View Communication Records

  1. Open the Contact details page.
  2. Review follow-up history in the Sales Records section.
  3. Open Mail and filter by Received by Me, Sent by Me, or All Mail.
  4. To continue the conversation, send an email from this section.
Sent email can display read status. Availability depends on your organization’s email configuration.

Verify the result

  • The new or updated Contact appears in the Contact list.
  • The Associated Contact appears on the Account or related business object.
  • Contact details display the available follow-up and email records.
