Use this reference to understand Account and Contact visibility and key action restrictions.

Default data ranges

View Data range
Owned by Me You are the owner
Participated by Me You are a member of the related team
Owned by My Subordinates One of your subordinates is the owner
Shared With Me A data sharing rule grants access to you, your department, or your user group
Owned by My Department You manage the primary department; visibility also depends on parent-level visibility rules
CRM administrators can view all data. Only CRM administrators can view voided records.

Account action restrictions

Edit Account Not Effective, In Filing, or Assigned Owner, owner’s manager, and related users with read/write permission
Manage Financial Information Not Effective, In Filing, Not Assigned, or Assigned Related users with read/write permission
Address Management Not Effective, In Filing, Not Assigned, or Assigned Related users with read/write permission
Return to Account Pool Assigned Owner or owner’s manager
Merge Accounts Duplicate Accounts CRM administrator

Account detail object rules

Object Relationship to Account Uniqueness rule Main purpose
Account Address Detail object of Account One Primary Address and one Default Shipping Address Provides a visit address and Delivery Address for a Sales Order
Account Financial Information Detail object of Account One Default Financial Information record Provides financial information for Invoice Applications
Note: Account permissions, detail object permissions, and record status also control who can view, create, or edit these records.

Related owner changes

When changing an Account owner, you can also change owners for eligible Contacts, Opportunities, Orders, Contracts, and Related Teams. Records in a Workflow, BPM process, or Lock Status do not change.
