Process leads


Evaluate the Lead first, then record the result.

Overview

After receiving a new Lead, sales reps must engage in time. By marking a Lead as In Follow-Up, Invalid, or Voided, reps clean the funnel and ensure resources go to Leads with real intent.

Before you start

[!IMPORTANT] - Role permissions: The current employee must be the Owner, the Owner’s manager, a team member with read and write access, a sharing recipient, or a Lead pool administrator. - Lead status: You can process a Lead only when it is Pending, In Follow-Up, or Invalid.

Steps

  1. In the main menu, go to CRM > Sales Leads.
  2. In the list, click the target Lead name to open the Sales Lead Details page.
  3. In the action bar in the upper-right corner, click Process. > [!NOTE] > If the button is not shown directly, click More and select Process from the drop-down menu.
  4. In the Process Sales Lead window, select a Processing Result:
    • In Follow-Up: The Lead information is real, and the customer has initial communication intent.
    • Invalid: The phone call was not answered, or the customer clearly says they do not need the company’s products in the short term.
    • Voided: The Lead is confirmed as junk data, such as an invalid number or fake account name.
  5. In the Processing Comment text box, enter a specific follow-up communication summary.
  6. Click Save.

[!NOTE] Business rules and notes: - The Sales Lead Owner is responsible for verifying Lead validity. - Leads can be processed when their status is Pending, In Follow-Up, or Invalid. - Invalid means the Lead is not advanced for now. You can activate it again later. - Voided is similar to deletion. Only administrators can restore Voided Leads.

Expected results and verification

  • Sales Lead status changes to the selected processing result:
    • If you select In Follow-Up, Lead status changes to In Follow-Up, and you can continue to add daily Sales Records.
    • If you select Invalid, status changes to Invalid. If the customer shows intent later, click Process again to reactivate and update the status.
    • If you select Voided, Lead status changes to Voided. The Lead is hidden from regular sales lists and visible only to CRM administrators.

Troubleshooting

  • If the operation fails, check permissions, object status, and target scope first.
