Convert to orders and print


Overview

After a quote is complete, two key actions remain: outputting it to the customer and continuing the transaction toward closing. Customer output depends on print or email, while transaction continuation depends on converting the quote into a sales order.

Before you begin

[!IMPORTANT] - Permissions required: You need read/write access to quotes and permission to convert to orders or use print-related actions. - Prerequisites: The quote is normal, unlocked, and the quote result has already been reviewed. - Dependencies: If the order stage will trigger approval or delivery-address confirmation, confirm the follow-up process in advance.

Step 1: Confirm the prerequisites for order conversion

For a quote to be converted into an order, at least the following conditions must be met:
  • The quote status is Normal
  • The quote is Unlocked
Only when both conditions are met is the quote suitable to serve as the price and line-item source for a later order.
This also means that a quote that is locked or no longer in a normal lifecycle state should not be used directly to generate an order, even if the business still wants to continue the deal.

Step 2: Convert to a sales order

The users who can perform this action are generally similar to those who can edit line items. It is not limited to the owner alone. It may also include:
  • The owner’s manager
  • Related team members with read/write permission
  • Managers of related team members
  • Shared users with read/write permission
This shows that in collaborative sales workflows, order conversion can be completed by authorized key roles rather than only by the owner.
If the owner is unavailable, another collaborative role with the right authorization can still move the transaction forward.
The entry point is Convert to Order under the More menu on the Quote Detail page.
Within the internal business workflow, it is generally recommended to convert only when:
  • The quote plan has been confirmed with the customer
  • Line items are no longer changing frequently
  • The pricing result has completed final review
If users cannot find the button, check the current status and permissions first rather than assuming the system lacks the capability.

Step 3: Review the template and deliver the result

The order stage often continues with tasks such as product handling, delivery-address confirmation, and approval. So even though a quote can be converted into an order in one click, the process does not end there.
Combined with the local sales-order documentation, after conversion you should usually continue to confirm:
  • Whether order products or discounts still match the final commercial plan
  • Whether the delivery address must be added or reconfirmed
  • Whether the company triggers a fixed approval process at the order stage
So it is better to understand order conversion as entering the deal-execution stage rather than fully ending the quote process.
The system provides a preset quote print template, and users can use the print capability directly. Even so, review the template before formal external use:
  • Check whether all required fields are displayed
  • Check whether the customer-facing display order is appropriate
  • Check whether the template content matches the company’s quote style
If the company mainly sends quotes by email, include the email template in the same review scope instead of checking only the print layout.

Result check

  1. On the quote detail page, confirm that the status is normal and unlocked.
  2. If you are ready to close, use Convert to Order.
  3. If you need to send the result to the customer, review the print template first and then print or email the quote.
  4. After output, review the document status again and confirm the next follow-up path.
If the same quote must both be sent to the customer and converted into an order, it is usually best to confirm the template content first and then decide whether conversion should happen before or immediately after sending, so the version seen by the customer stays aligned with the internal closing version.

Usage recommendations

  • Do not convert too early if the quote is still changing frequently.
  • If your company relies heavily on printed or emailed quotes for customer confirmation, complete template review before formal delivery.
  • If the quote carries a complex CPQ result, review line items and prices especially carefully before conversion.
  • If preset templates exist in the system, do not assume they are automatically suitable for external use. Review and adjust them before formal sending.
  • If the order stage still includes address confirmation or approval, treat order conversion as the start of the next fulfillment stage rather than the end of the workflow.
