Create a quote
Overview
With a consistent creation flow, sales can turn customer requirements into a formal quote with pricing logic and product line items faster, while reducing the cost of rework and document recreation later.
Before you begin
[!IMPORTANT] - Permissions required: You need permission to create quotes and visibility to the target customer or opportunity. - Prerequisites: Foundational data such as customers, opportunities, and price books is already prepared. - Dependencies: If your company uses price books, confirm that the relevant price book and best-price strategy are already in effect.
Step 1: Choose the entry point
At least three manual entry points are supported for creating a quote:
- Directly from the Quote List page
- From the quote related list on a Customer Detail page
- From the quote related list on an Opportunity Detail page
If your company also uses import-based creation, quotes can be imported as well, but the
Applicable Customer field is currently not supported for import and defaults to all customers. From a business-entry perspective, quotes can be initiated either inside a transaction object or as an independent document:
- Creating from the quote list is suitable for directly entering a quote need
- Creating from the customer detail page is suitable for ongoing customer management
- Creating from the opportunity detail page is suitable for advancing a clear transaction opportunity
Before starting, confirm:
- The target customer already exists
- The opportunity context, if needed, has been created
- The target price book is ready if differentiated pricing is required
- The current user has both visibility and creation permissions for quotes
If your company relies on import-based creation, also confirm whether the expected handling of
Applicable Customer matches the import limitation.Step 2: Confirm the customer and product-selection path
There is one key branch here:
- If price books are enabled: select the customer, then the price book, then add products from the price book
- If price books are not enabled: select the customer and add products directly
This is not just a UI difference. It changes the basis of pricing:
- When price books are enabled, pricing relies more on the preset pricing framework
- When price books are not enabled, sales organizes product selection and pricing more directly on the document itself
This branch directly affects how sales selects products, so confirm first whether the business currently operates with a price-book system.
Step 3: Confirm the price-book strategy and save
Whether price books are enabled affects more than just whether the user selects the customer or the price book first. It also affects the front-end entry used to add products.
- The switch path is
CRM Back Office -> Business Rule Settings -> Price Management - Once price books are enabled, they cannot be turned off
- Enabling them initializes the
Standard Price Book - The switch
Force Best Price by Price Book Priorityfurther affects the entry used to add line items and the price-switching behavior
If this switch is on, the front end emphasizes taking the default best price. If it is off, sales has more flexibility when choosing price-book prices. Make sure frontline training explains this rule clearly in advance.
The typical operation sequence is:
- Start a new quote from the appropriate entry point.
- Enter or confirm customer information.
- If price books are enabled, select the applicable price book.
- Add products or quote details.
- Save and proceed to the line-item adjustment stage.
If a quote is initiated from a customer or opportunity, object relationships in the system are usually more complete, making later query and follow-up easier.
Result check
After creation, the system should provide at least the following:
- A quote that can continue to be edited
- The correct relationship to the customer or opportunity
- Added quoted-product line items
- A document foundation that can later be printed, emailed, or converted to an order
If creation is completed but no editable quote details exist, first check whether products were added during the creation process.
Common notes
- If sales wants to reuse a customer pricing framework quickly, use the price-book path first.
- If an imported quote causes customer-scope issues, check whether the import rule matches the built-in limitation.
- If the entry point cannot be found, first check whether the page layout includes the quote related list.
- If customer-specific pricing must be delivered quickly, confirm whether the team should use the price-book path rather than adding products manually.
- If the front-end product-entry path differs from the team’s training guidance, recheck the price-book switch and the
Force Best Price by Price Book Priorityconfiguration.
