Contract renewal
Generate an independent new Contract quickly from an original Contract to reduce repeated entry while retaining the renewal relationship.
Overview
Contract Management uses Contract Renewal to copy the Account, main Contract terms, and Product Details from the original Contract. The new Contract is saved independently, and the original Contract remains unchanged. You can adjust the term, fees, Service content, and Price in the new Contract.
Before you start
[!IMPORTANT] - Contract Conditions: The original Contract has the Normal lifecycle Status and is a main Contract. - Permission Conditions: You have both Contract New permission and Contract Renewal permission. - Configuration Dependency: The administrator has enabled the renewal feature and configured the Renewal button and field-copy rules.
For related backend configuration, see Contract Renewal Configuration.
Start a renewal
- On the Contract list page, open an eligible original Contract.
- On the Contract details page, click Renewal.
- Wait for the system to complete the Contract Initialization.
The system records the Source Contract for the new Contract. The original Contract is not overwritten.
Validate the Price and Product
After renewal initialization, the system checks the latest Price and the Account’s Product Scope.
Handle a Price change
- In the Price validation notice, view the difference between the original Price and the latest Price.
- Select Keep Original Contract Price or Use Latest Price.
- Confirm the Price selection.
Handle an unsellable Product
If a Product from the original Contract is no longer a Sellable Product for the current Account, the system identifies the Product when you submit the Contract. Update the Product Details and submit again.
Inherit additional agreement details
- On the new Contract edit page, click Add from Historical Additional Agreement.
- In the left side of the dialog, view the subcontracts associated with the original Contract.
- In the right side of the dialog, view the subcontract details.
- Select the details to retain for this renewal.
- Click Add to merge the details into the new Contract.
Edit and submit the new Contract
- Add or update Contract fields in the new Contract.
- Add the Products or Services that need renewal to Product Details.
- Delete the Products or Services that are not renewed this time.
- Check the Account, main Contract terms, Amount, and validity period.
- Click Submit.
The edit process for a renewal Contract is the same as the process for creating a Contract. After submission, the system retains the renewal Source relationship between the original Contract and the new Contract.
Expected results
- The system generates an independent new Contract, and the original Contract remains unchanged.
- Fields allowed by the configuration are copied from the original Contract to the new Contract.
- Price and Product Scope validation results are visible before submission.
- You can trace the new Contract to the original Contract through the renewal Source relationship.
