Configure account validation rules

Configure Direct Deduction or Validate Deduction to control when a document checks the balance, freezes it, and deducts it.

Overview

Direct Deduction deducts the balance when the document is submitted. Validate Deduction first checks whether the balance is enough, freezes it, then unfreezes and deducts it at a later node such as shipment. If the system shows Insufficient Balance, Validate Deduction blocks submit.

Before you begin

❗
  • Customer Fund Account advanced capabilities are enabled.
  • Related documents have payout authorization and are initialized. After the v930 rollout, objects available in validation rules and in account expense and unfreeze both come from payout authorization.
  • Validation rules do not support negative deduction.

Steps

Configure direct deduction

  1. Create a customer fund account validation rule and choose Direct Deduction.
  2. Set the Rule Conditions and freeze mapping. The page supports the order object by default. Other objects need payout authorization first. alt text
  3. Save and enable the rule. You can deduct more than one fund account at a time.
  4. Test with an order. If the balance is enough, submit succeeds and the system deducts automatically and creates an Expenditure Transaction Log. If the system shows Insufficient Balance, it does not prompt and does not deduct.

Configure validated deduction

  1. Create a validated deduction rule. If the rule checks the fund account balance, the sales order must use Lookup to the related customer fund account balance as the Associated Account.
alt text 2. Select the freeze account and configure freeze field mapping.
alt text 3. Configure when the frozen amount becomes an actual deduction, and map fields for the Expenditure Mapping on the expense account transaction log.
alt text 4. If several validated deduction rules exist, they run by priority. 5. Test with an order: - If the order amount is greater than the cash account balance, the system shows Insufficient Balance and blocks submit. - If the order amount is less than or equal to the balance, submit succeeds, a freeze record is created, and Account Occupied Amount appears on the balance. - After shipment, the freeze is unfrozen, the balance is deducted, and an unfreeze record is linked to the expense document.

  1. Open the customer fund account validation rule list.
  2. Select rules and use Enable or Disable in the list header.
  3. You can also enable or disable one row by its status.

If several rules trigger at the same time and none of the conditions match, the system blocks the action. If one condition matches, validated deduction continues.

Verification

  • A direct deduction order creates an expense log.
  • A validated deduction order creates a freeze record, then an unfreeze record and balance deduction after shipment.
  • You can drill from frozen amount on the customer fund account balance into freeze records.
