Rebate system overview
The rebate system has two parts: Rebate generation and rebate usage. Rebate generation creates rebate forms from rules. Rebate usage posts the rebate form to a Customer Fund Account and consumes it in an order.
Overview
In ShareCRM, rebates return value to customers after a sales result is reached. The system first generates rebate forms. Then it posts those forms to Customer Fund Accounts. Finally, users consume the rebates in orders.
Requirement Confirmation should be completed before you enable rebates.
| Module | Purpose |
|---|---|
| Rebate generation | Generates rebate forms from source objects and rebate generation policies. |
| Rebate usage | Consumes rebates on orders through Customer Fund Accounts and Rebate Usage Rules. |
Core concepts
| Concept | Purpose |
|---|---|
| Rebate generation policy | Defines the source object, calculation scope, and rebate dimension. |
| Rebate generation rule | Defines the rebate conditions and rebate content for a single rule. |
| Rebate form | Stores the rebate calculation result and waits to be posted. |
| Customer Fund Account | Holds Available Rebate and deduction balance. |
| Rebate Usage Rules | Control which rebates an order can use and how much it can use. |
What is a rebate
Rebate definition
A rebate is a commercial incentive. A manufacturer or supplier returns value after a sales target is reached. Rebates are usually issued as an amount or as goods. Rebates are usually redeemed later than the original sale.
- Incentive: Encourages distributors to meet sales targets on time or ahead of schedule and supports campaign execution.
- Control: Lets distributors receive extra rebates while they still follow the manufacturer’s policies.
Rebate purposes
- Increase sales: Promotional discounts create incentives for downstream distributors.
- Speed up collection: Linking rebates to the total payment amount encourages distributors to prepay on time or early.
- Promote the brand: Rebates can support new-product launches, ad subsidies, and market activities.
- Meet targets: Rebates can be configured around phased sales goals.
- Increase pickup volume: Return-goods style rebates can raise pickup volume for key or clearance products.
- Improve the market: Rebates can also support market share, channel coverage, and sales management goals.
Rebate forms
Rebates can be classified by redemption method and generation timing.
Redemption method
- Amount: Rewards are issued as funds. The rebate usually returns usable balance that can offset future orders. Some companies redeem Amount-Based Rebates with cash or checks.
- Goods: Rewards are issued as specific products that can be picked up on later orders.
Generation timing
- Monthly or quarterly: Redeemed based on monthly or quarterly performance. This is flexible, but it puts more pressure on financial accounting.
- Annual: Redeemed based on annual performance, usually in the first quarter of the next year.
- Immediate: Settled order by order based on each pickup.
Rebate system structure
The rebate system includes Rebate generation and rebate usage.
Rebate generation: The system calculates rebate forms through Rebate Generation Policy based on any object that contains customer information.
Rebate usage: After a rebate form is posted, you can use it on an order through the Customer Fund Account Component. You can also restrict usage with Rebate Usage Rules. The usage result is recorded in Rebate Usage Details.

Rebate types
Amount-Based Rebate
Amount-Based Rebate is a rebate of a certain amount that a company gives to downstream distributors or customers. The distributor can use it on the next order or Offset Payment Received.
The rebate can also be reflected as Rebate Amount.
Product Rebate
Product Rebate is a rebate of specific products or goods that a company gives to downstream distributors or customers. The distributor can claim the corresponding product on the next order. After a rebate product line is added, its deal price and deal amount are 0.

Rebate and Customer Fund Accounts
The rebate system strongly depends on the Customer Fund Account system. All rebates must be posted to a Customer Fund Account before they can be used.
The mapping between rebate types and Account Type is shown below:

Rebate-related accounts
After rebates are enabled, the Customer Fund Account system automatically adds three preset rebate-related accounts. You can also maintain custom rebate-related accounts.
Account authorization
| Authorization item | Purpose |
|---|---|
| Rebate form income authorization | Determines which Customer Fund Accounts a rebate form can be posted to. |
| Sales order expense authorization | Determines which Customer Fund Accounts an order can deduct. |
Account validation rules
| Rule | Purpose |
|---|---|
| Component deduction rule | Added automatically after rebates are enabled. The Deduction Associated Objects are Sales Order as the Related Object. |
| Deduction field relationship | Configures the field mapping for accounts that deduct balance directly from an order amount field. |
Enable the system
- Make sure the Customer Fund Account system is purchased and enabled.
- Go to Setup > Business Rule Management > Sales Execution Configuration > Promotion and Rebate Settings and enable rebates.
- Confirm that rebates remain enabled.
